Job Summary

The Program Assistant plays a pivotal role in executing field-level operations, conducting ongoing monitoring, and overseeing data management for the School Feeding Program and associated sustainability efforts. This position is responsible for maintaining precise data records, ensuring adherence to school-level compliance standards, and facilitating prompt reporting of field activities.

Oversee and execute a comprehensive range of duties and responsibilities, ensuring alignment with organizational objectives and operational standards. Manage daily tasks with precision, prioritizing efficiency and accuracy to support team goals and company initiatives. Our role involves providing comprehensive assistance to ensure the effective execution of programs, focusing on streamlining processes, monitoring progress, and addressing any implementation challenges that may arise. You will collaborate closely with cross-functional teams to gather requirements, develop support materials, and facilitate training sessions to enhance stakeholder understanding and adoption. Key responsibilities include tracking program milestones, preparing detailed reports on performance metrics, and identifying opportunities for continuous improvement. Additionally, you will serve as a liaison between program teams and external partners to resolve issues promptly and maintain alignment with strategic objectives. Strong analytical, communication, and project management skills are essential, along with proficiency in relevant tools and methodologies to drive successful program delivery.

Execute school feeding initiatives at designated schools in strict accordance with approved operational plans.

Coordinate food delivery processes at the school level, ensuring proper receipt and preliminary verification of deliveries.

Support the coordination of field initiatives and involvement with key stakeholders.

Provide assistance in executing sustainability initiatives at the school level under the Sustainable School Meals Project (SSMP), in collaboration with the SSMP Project Officer, which encompasses the establishment, monitoring, and technical support for kitchen gardens, crop farming, poultry rearing, and related activities.

The incumbent will be tasked with overseeing reporting procedures, tracking progress through systematic monitoring, and conducting thorough evaluations to assess performance and outcomes. This role involves maintaining accurate records, analyzing data to identify trends, and ensuring compliance with established standards and protocols. Additionally, the position requires the preparation of detailed reports, presentation of findings to stakeholders, and the implementation of recommendations based on evaluation results to drive continuous improvement. Strong analytical skills, attention to detail, and proficiency in data management tools are essential for success in this role.

Compose quarterly and annual reports, as well as contribute to written materials, to effectively communicate the status of implementation progress.

Responsibilities include managing and regularly updating beneficiary and school records, specifically ensuring accuracy in enrollment details, feeding data, and contact information.

Oversee routine school monitoring visits to verify that all aspects are progressing as planned, such as the punctual delivery of food supplies, adherence to quality standards, appropriate storage and handling practices, and the effective utilization of food by schools.

Collaborate in the preparation and compilation of Program Change/Impact documentation to accurately capture and convey relevant information.

Regularly communicate progress and updates regarding the school feeding program across all designated platforms to ensure stakeholders are fully informed.

Engage in the systematic gathering of data for needs assessments, baseline studies, and impact evaluations at both the school and community levels.

Maintain all tools and trackers in their required state, ensuring they are consistently updated and fully operational at all times.

Job Specification:

Candidates must possess a relevant academic qualification, along with the necessary professional certifications and a minimum of [X years] of hands-on experience in the field. Proficiency in working within Arid and Semi-Arid Lands (BASAL) regions and among local communities is highly desirable.

A valid motorcycle riding license is strongly preferred.

Must demonstrate the ability and willingness to operate a motorcycle for travel to and from project sites.

Proven track record in overseeing complex projects with meticulous monitoring and comprehensive reporting capabilities.

Proficient in operating a variety of data collection and reporting systems, including Kobe, OK, Google Forms, and Excel/Sheets.
