The successful candidate will be a meticulous, collaborative professional responsible for managing the full order lifecycle. This individual will assess proposals, secure favorable pricing, identify optimal suppliers, evaluate market trends, track order progress, confirm deliveries, authorize payments, and ensure accurate documentation.
Execute operational duties by managing daily administrative tasks, including scheduling meetings, preparing documentation, and maintaining organized filing systems. Oversee communication flow by coordinating internal and external correspondence, ensuring timely responses to inquiries, and facilitating collaboration among teams. Support project execution by tracking milestones, monitoring progress against deadlines, and preparing status reports for stakeholders. Assist in financial processes by processing invoices, reconciling expenses, and preparing budget reports as required. Maintain compliance with company policies and regulatory standards by adhering to established procedures and documenting all activities accurately. Provide exceptional administrative support to senior leadership by anticipating needs, prioritizing tasks, and delivering high-quality work efficiently.
Manage all approved engineering and maintenance parts and equipment procurements and logistics as required.
Liaise with engineering stores to ensure prompt and high-quality acquisition of spares and consumables, maintaining optimal re-order levels and lead times for various stock items by evaluating part consumption, delivery terms, and clearance durations.
Coordinate spares for equipment orders, both locally and internationally, and ensure timely clearing and forwarding while providing updates to the plant engineer.
Collaborate with engineering suppliers to address inquiries or resolve issues concerning deliveries, payments, shipping/procurement, and standards, providing guidance to the plant engineer as needed.
Ensure all local and international orders are delivered safely and appropriately upon follow-up.
Upon receipt of properly authorized purchase requisitions—signed by the plant engineer—this role involves obtaining and evaluating quotations or pro forma invoices from potential suppliers.
Prepare petty cash (advance) vouchers with the plant engineer’s approval to facilitate cash purchases of urgent supplies, followed by reconciliation and tallying as required.
Ensure timely follow-ups regarding checks and advance payments with suppliers and contractors post-delivery or project completion, as well as in accordance with their specified terms, to maintain productive working relationships.
Ensure the engineering department’s procurement expenditures align with allocated budgets and estimates, maintaining close coordination with your supervisor to uphold financial constraints.
Ensure the prompt availability of necessary parts and equipment whenever they are needed, and actively contribute to minimizing downtime by responding swiftly under all circumstances.
Contribute actively to the realization of both organizational and engineering department objectives, ensuring your full engagement in the process.
Contribute to the engineering department’s mission of ensuring maximum availability, reliability, and efficiency of plant and equipment, buildings, and utilities/services.
Develop and submit annual, quarterly, monthly, semi-annual, and weekly procurement plans to the plant engineer as required.
Seeking candidates who meet the following qualifications: a bachelor’s degree in a relevant field, at least three years of professional experience in a similar role, proficiency in industry-standard software, and strong analytical and problem-solving skills. Additionally, excellent communication abilities, both written and verbal, are required to collaborate effectively with cross-functional teams. Familiarity with project management methodologies and prior leadership experience are preferred but not mandatory. Candidates must demonstrate adaptability, attention to detail, and a commitment to continuous learning in a dynamic work environment.
A Bachelor’s degree in either Mechanical or Electrical Engineering is required.
A diploma in Purchasing & Supplies Management or a professional CAPS qualification is advantageous.
Established track record in sourcing and procuring technical components within a manufacturing environment.
Strong negotiation abilities, a solid grasp of commercial principles, and unwavering integrity are essential for this role.
A minimum of five years of professional experience in a related field is required.
