JOB SUMMARY

The Administrative Manager plays a pivotal role in ensuring the efficiency, cost-effectiveness, and alignment of administrative and operational processes with organizational objectives. This position involves overseeing and refining the company’s operational workflows to guarantee both efficiency and effectiveness in achieving business goals.

Oversee and execute a diverse range of critical tasks, ensuring alignment with organizational goals and maintaining high standards of efficiency. Develop, implement, and monitor strategic initiatives that enhance productivity, foster innovation, and drive measurable outcomes. Collaborate closely with cross-functional teams to streamline processes, optimize workflows, and resolve complex challenges. Maintain meticulous attention to detail while managing multiple priorities and deadlines in fast-paced environments. Serve as a key liaison to stakeholders, providing transparent communication and actionable insights to support informed decision-making.

Oversee and direct the daily administrative functions, encompassing office facilities, space allocation, utilities, and routine maintenance to sustain seamless operational efficiency.

Responsible for crafting, executing, and evaluating administrative policies, procedures, and systems to optimize operational efficiency.

Responsible for overseeing the procurement, inventory management, and maintenance of office supplies, assets, and equipment.

Oversee and mentor sales, marketing, biomedical, and administrative personnel, including receptionists, clerks, and office assistants, to ensure seamless operational execution and team collaboration.

Deliver services efficiently and reliably, ensuring optimal performance and adherence to established standards throughout all operations.

Maintain meticulous and secure filing systems, databases, and documentation, upholding strict confidentiality and adherence to proper protocols.

Maintains and oversees the organization, retrieval, and security of all documents within the company, ensuring compliance with established policies and regulatory standards. Tracks revisions, updates, and distributions of documents to guarantee accuracy and accessibility for relevant stakeholders. Implements and manages document management systems to streamline workflows and enhance efficiency across departments. Collaborates with teams to ensure proper documentation practices are followed and provides training as needed to uphold consistency and compliance.

Compile weekly sales reports, official correspondence, and other necessary administrative documentation.

Oversee vendor partnerships, administer service agreements, and guarantee cost-efficient service execution.

Coordinate audits, inspections, and compliance-related activities while overseeing the administration, renewal, and management of company licenses and permits to ensure adherence to regulatory standards.

Serve as the primary liaison for all administrative inquiries, coordinating with various internal teams and external partners to ensure seamless communication and operational efficiency.

Skilled professionals will collaborate closely with team members and relevant stakeholders to drive projects forward and ensure alignment with organizational objectives.

Assist in the organization of management meetings by compiling and distributing agendas, documenting minutes, and monitoring follow-up tasks to ensure timely completion.

Minimum Qualifications:

A bachelor’s degree in computer science, information technology, or a related field is required. Additionally, candidates must possess at least three years of professional experience in software development or a comparable role. Proficiency in programming languages such as Java, Python, or C++ is essential. Strong problem-solving skills and the ability to work independently are also required. Familiarity with agile development methodologies and version control systems is preferred. Excellent communication skills are necessary to collaborate effectively within a team environment.

A bachelor’s degree in Business Administration is required.

Applicants must possess prior experience within the healthcare or medical sector.

Seeking candidates with a minimum of three to five years of experience in an administrative management capacity.
