The Associate, Travel, Safety and Security will empower staff worldwide by promoting secure and efficient operations throughout the Rainforest Alliance. Responsibilities include contributing to the creation and upkeep of safety and security resources, as well as facilitating global travel arrangements. The role involves managing the duty of care database to maintain precise records of staff information. Additionally, the Associate will serve as the primary point of contact for Request for Proposals (RFP) management within the organization. They will also provide critical support to the Global Internal Compliance team across all regions.

The Associate, Travel, Safety and Security will report directly to the Manager, Travel Safety and Security.

WHAT YOU WILL DO:

Assist in creating, updating, and distributing travel, safety, and security policies, procedures, and instructional materials throughout the organization to ensure adherence to industry-leading standards.

Collaborate with internal departments and regional teams to maintain consistent global implementation of safety and security policies and procedures.

Maintain and update the Duty of Care database, ensuring accurate management of staff profiles and static asset records.

Provide assistance in overseeing and coordinating relationships with external service providers, such as insurance brokers, Duty of Care providers, security consultants, and travel vendors. This includes facilitating meeting arrangements, monitoring progress on agreed-upon deliverables, and ensuring all documentation remains accurate and up to date.

Conduct comprehensive background research and support the development of security guidance, risk assessments, country risk summaries, and briefing materials to assist project teams, events, and field operations.

Oversee the regular maintenance and updates of organizational resources focused on travel safety, security guidance, and security tools for employees.

Support the organization of Crisis Management Team and Incident Management Team operations by maintaining up-to-date contact lists, documenting operational procedures, coordinating training exercises, and contributing to incident documentation efforts.

Assist with designing, implementing, and facilitating internal training programs and resources focused on travel safety, crisis management, and security awareness.

Assist in resolving operational challenges within the portfolio by addressing staff queries and elevating intricate problems to the manager for further action.

Deliver prompt internal assistance to employees seeking direction on travel safety, security protocols, or Duty of Care resources.

Provide assistance with the organization’s RFP management process by acting as the primary liaison with Human Resources to address inquiries and resolve issues related to RFPs, while also ensuring accurate review and timely publication of RFPs according to established internal guidelines.

Responsible for overseeing and maintaining the Docusign account, as well as managing associated client relationships, ensuring seamless electronic signature processes and optimal platform utilization.

Provide support in overseeing and coordinating the managed travel program to ensure its efficient operation.

Ensure adherence to sanctions compliance protocols throughout all organizational operations.

WHAT YOU BRING:

Seeking candidates with a minimum of two years of professional experience in travel, safety, or security, ideally within a global nongovernmental organization.

Proficiency in Duty of Care platforms including Helix, ISOs, Global Guardian, and Crisis24, along with Office 365, Salesforce, RFP platforms, and SharePoint is required.

Seeking a candidate with at least two years of experience in managing Request for Proposals.

Proficiency in database management administration with a minimum of two years of relevant experience.

Address sensitive issues with the utmost professionalism and discretion at all times.

Fluency in English at the C1 proficiency level is a prerequisite for this position.

Fluency in Spanish or French is strongly preferred.
