Oversee the execution of essential duties and fulfill key responsibilities, including but not limited to managing core functions, leading assigned projects, ensuring operational efficiency, maintaining compliance with established standards, and fostering collaboration across teams to achieve organizational objectives. This role demands a proactive approach, strong problem-solving abilities, and meticulous attention to detail in day-to-day operations. Regular reporting, strategic planning, and effective communication are integral components to drive performance and meet key performance indicators. Additional responsibilities may encompass team leadership, process optimization, stakeholder engagement, and continuous improvement initiatives to support long-term growth and success.

Provide leadership and operational support by advising security and conservation teams, maintaining accurate records, and safeguarding confidential information. Facilitate clear communication with the JOCK, KWS, and NRT, while organizing departmental meetings and training sessions. Additionally, track staff leave and off-day schedules to ensure adherence to organizational policies and procedures.

Handle procurement and logistics functions, including processing requisitions, managing purchases, coordinating supply deliveries, overseeing vehicle maintenance, and ensuring adherence to licensing requirements.

Develop and oversee budgets for General Security and Armed Security, meticulously tracking expenditures and ensuring full adherence to contractual obligations. In addition, collaborate closely with the Finance, Monitoring & Evaluation (M&E), and Grants teams to maintain alignment and accuracy in financial management processes.

Grants & Fundraising: Responsibilities include drafting and assisting with grant proposals, engaging in fundraising activities, and ensuring adherence to donor compliance requirements.

Compile and standardize monitoring and evaluation data, conduct thorough reviews of departmental submissions, and produce detailed incident and operational reports.

Coordinate with governmental bodies, non-governmental organizations, and key stakeholders to uphold adherence to Kenyan legal frameworks and donor-specific regulations while serving as LEA’s representative in JOCK meetings.

Duties may be assigned as needed from time to time.

We are seeking a seasoned professional to fill this critical role, requiring a minimum of five years of relevant experience in the field. Applicants must possess a bachelor’s degree in a related discipline or an equivalent combination of education and hands-on expertise. Proficiency in industry-standard software and tools is essential, along with strong analytical and problem-solving capabilities. The ideal candidate will demonstrate exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. Responsibilities include overseeing project execution, collaborating with cross-functional teams, ensuring compliance with regulatory standards, and delivering high-quality results within defined timelines. Effective communication and leadership qualities are also required to mentor junior staff and foster a collaborative work culture.

The ideal candidate will have the following qualifications:

A minimum of a diploma in Business Administration, Public Administration, Project Management, Finance, Procurement, Supply Chain Management, or a closely related discipline is required.

A bachelor’s degree would be considered advantageous.

With a minimum of three to five years of experience in administrative and financial coordination, ideally within conservation or security sectors, the ideal candidate will demonstrate proficiency in managing complex operational tasks. Strong organizational skills, meticulous attention to detail, and the ability to prioritize effectively are essential for success in this role.

Skilled in a range of Information Technology competencies, such as data management, reporting systems, Microsoft Office applications, and security software solutions.

Possesses a comprehensive understanding of the legal frameworks governing wildlife conservation in Kenya.

Demonstrates exceptional organizational abilities and sound judgment when making decisions.

Must demonstrate proficiency in self-directed work and the capacity to prioritize tasks without constant supervision.
