Prepare weekly payment schedules for suppliers, which will be submitted to the Accounts Payables Manager for review and approval.
Process authorized supplier payments within the Na vision system and maintain prompt settlement of outstanding creditor balances. Conduct meticulous reconciliation of supplier and bank accounts, addressing any discrepancies without delay to ensure financial accuracy.
Ensure accurate accruals for services rendered and goods received but not yet invoiced as part of the month-end closing process.
Maintain the creditors’ ledger in Na vision by regularly updating supplier records to ensure all information remains accurate and current.
Collaborate with the Procurement and Operations teams to validate that purchase orders, delivery notes, and invoices align prior to processing, ensuring a precise three-way match.
Facilitates the accurate recording and reconciliation of intercompany transactions to ensure financial alignment and compliance with accounting standards. Collaborates with various departments to gather necessary data, validate transaction details, and resolve discrepancies promptly. Maintains detailed documentation and prepares periodic reports to support audits and financial reviews. Ensures all intercompany transactions adhere to established policies and regulatory requirements.
Compile landed cost entries for imported items in Na vision, incorporating freight expenses, insurance premiums, and customs duties into the accounting records.
Deliver precise AP schedules, reconciliations, and supporting documentation to facilitate statutory audits and tax filings for entities operating in Kenya and Nigeria.
Oversee inventory management and cost accounting processes, ensuring accurate tracking and valuation of stock levels and associated expenses. Analyze cost variances, reconcile discrepancies, and implement corrective measures to optimize financial performance. Prepare detailed reports on inventory turnover, stock aging, and cost of goods sold, providing actionable insights to management. Collaborate with procurement and warehouse teams to maintain optimal stock levels while minimizing excess or obsolete inventory. Develop item codes and production bills of materials utilizing Na vision to ensure accurate and efficient inventory and manufacturing processes.
Process stock movement instructions, including transfers from commissaries to stores and between stores, ensuring precise and timely posting of transfer orders in Na vision.
Monitor and oversee the flow of inventory throughout all designated sites, verifying that records are consistently and precisely updated in Na vision in compliance with established internal guidelines.
Supervise and conduct monthly physical stock counts while actively participating in the process. Additionally, compile and present detailed stock reports for all locations to ensure accurate inventory tracking and accountability.
Calculate the monthly expenditure for food and ensure it matches the reported figures.
In accordance with warehouse and commissary usage reports, monthly consumable usage must be analyzed and documented. Additionally, ongoing cost consumption trends will be tracked and monitored.
Monthly inventory balances and the cost of sales are reported, while slow-moving, damaged, and write-off items are identified and communicated to the Costing Manager.
Compile inventory aging reports and identify slow-moving, expired, or obsolete items for management evaluation.
Resolve inventory discrepancies, variances, and write-offs promptly and accurately to ensure precise inventory records and minimize financial discrepancies.
