Job Purpose:
The Purchase Assistant will facilitate the coordination of regional procurement activities, solicit vendor quotations, and compile comparative pricing analyses while ensuring timely follow-up and reporting.
Oversee a comprehensive range of duties, including the development and execution of strategic initiatives, management of cross-functional teams, and implementation of best practices to drive organizational success. Ensure adherence to company policies and regulatory standards while fostering a culture of accountability and continuous improvement. Collaborate with senior leadership to align objectives with long-term business goals, optimize operational efficiency, and enhance overall performance. Monitor industry trends, analyze market data, and recommend data-driven solutions to maintain a competitive edge. Track fluctuations in pricing across the E.A. region consistently.
Develop and evaluate quotations from multiple suppliers to identify the most cost-effective option, subsequently recommending or finalizing the purchase with the supplier offering the best pricing.
Engage with end users to accurately gather requirements for requested items and provide timely updates on the status of their inquiries.
Confirm that users’ requirements are validated through signed evaluation forms or email correspondence for regional procurement.
Ensure suppliers provide timely responses regarding regional requirements and delivery items by conducting follow-ups.
To facilitate the approval of a purchase order, compile and present all required information, ensuring that it meets established criteria. This involves evaluating received quotes to confirm that the negotiated price represents the most favorable option, verifying the availability of the item, and assessing the proposed delivery timeline to ensure alignment with organizational needs.
Communicate new product launches and updates to customers to ensure awareness of the latest offerings.
Periodically coordinate meetings with regional institutions to facilitate collaboration and alignment on key objectives.
Conduct supplier negotiations to secure favorable terms and pricing agreements.
Support the Capex Team in executing their day-to-day purchasing activities.
Consolidate and manage import orders across the regional distribution network to ensure timely and accurate processing.
Compiling weekly and periodic status reports on inquiries, along with price variance analyses, for each institution, and producing quarterly savings reports, as well as any other required documentation.
Perform additional duties as directed by the department supervisor or manager, ensuring alignment with organizational objectives and operational requirements.
Seeking candidates with a Bachelor’s degree in a relevant field, coupled with a minimum of three years of professional experience in a comparable role. Proficiency in essential software applications, exceptional analytical and problem-solving abilities, and strong interpersonal skills are required. Additionally, the ideal candidate will demonstrate outstanding organizational talents, adaptability in dynamic environments, and a proven capacity to meet deadlines consistently.
A bachelor’s degree in Purchasing and Supply Chain or a closely related business discipline is required.
Membership in the Chartered Institute of Purchasing & Supply (CAPS), Chartered Institute of Logistics (CULT), or Kenya Institute of Supplies Management (KISS) is required.
A minimum of two years of relevant work experience in a supervisory capacity within purchasing and/or warehouse operations is required.
Capable of collaborating effectively within a team environment, fostering cooperative relationships among colleagues to achieve shared objectives.
Delivers exceptional service to customers, ensuring their needs are met efficiently and courteously.
