Job Highlight:

You will facilitate the financial, operational, and administrative functions essential to the P4G initiative within WRI. Daily responsibilities will encompass budget management, contract administration, and adherence to grant requirements, alongside collaboration with P4G staff on project execution and providing guidance on internal processes and systems. This role will operate with the backing of the P4G operations, partnerships, and broader WRI operations teams. You will report directly to the Operations Manager overseeing the P4G initiative.

This role will operate under a hybrid work arrangement, combining remote work with on-site presence at the office.

What you will do:

Budgeting and Financial Management (30% time)

Develop, oversee, and maintain financial plans, forecasts, and budgets to ensure fiscal responsibility and alignment with organizational objectives. Analyze financial data, track expenditures, and identify variances to optimize resource allocation. Prepare detailed financial reports, present findings to stakeholders, and recommend cost-saving measures where applicable. Collaborate with department heads to establish budgetary guidelines and ensure adherence to financial policies. Monitor cash flow, manage financial risks, and support strategic decision-making through accurate financial insights. Proficiency in financial software and advanced Excel skills are required, along with a minimum of three years of experience in a financial or budgeting role. Strong analytical abilities, attention to detail, and effective communication skills are essential for success in this position.

Provide assistance to the P4G Operations team by managing day-to-day project financials, including reviewing transactions and maintaining accurate budgets within WRI’s financial software.

Facilitate ongoing oversight of the project’s financial performance by comparing actual expenditures against a multiyear output-based budget.

Assisting with the preparation of financial statements and facilitating financial audits are essential responsibilities of this role.

Assist in preparing annual budgets that are aligned with the work plan and result frameworks.

Assist in formulating and executing long-term financial strategies, such as creating proposal budgets and devising plans for sustainable financial growth.

Responsibilities include oversight of Grants & Contracts Management, representing approximately 30% of total duties.

Work collaboratively with the P4G team to uphold all funding award terms and conditions in strict accordance with established guidelines.

Process and manage subgrant and contract agreements with partners by overseeing payments and modifying agreements in collaboration with the partnerships team as necessary.

Provide assistance to the P4G Operations Manager and the grants’ management team by overseeing sub-awardee adherence to administrative grant requirements, ensuring reports and audits are submitted punctually.

Operations and Administration (40% of total time) involves overseeing daily operational tasks, managing office systems, and ensuring efficient workflows. Responsibilities include coordinating with cross-functional teams, maintaining records, preparing reports, and optimizing administrative processes. The role requires proficiency in Microsoft Office Suite, exceptional organizational skills, and the ability to multitask in a fast-paced environment. Strong communication and problem-solving abilities are essential to support operational continuity and administrative excellence.

Provide assistance to the P4G Operations Manager in facilitating the punctual and precise submission of progress and financial reports while ensuring adherence to internal budgeting, contract, and procurement protocols and deadlines.

Provide support in addressing operational challenges and reducing potential operational risks.

Collaborate with the P4G team and HR to facilitate the recruitment of new personnel while also assisting with the onboarding process for new staff members and consultants.

Offer assistance to P4G in organizing both internal and external events, workshops, and conferences as required.

Work collaboratively with the P4G team to oversee the digital archiving of information in SharePoint, maintaining strict organization, currency, and seamless accessibility of all data.

Provide administrative support to the Executive Director as required, ensuring efficient handling of tasks and maintaining clear communication channels.

What you will need:

Education: A bachelor’s degree in Computer Science, Information Technology, Engineering, or a related field is required; advanced degrees are preferred. Relevant certifications, such as Compton Security+, CISSP, or AWS Certified Solutions Architect, are advantageous. Strong academic performance in coursework related to programming, systems analysis, cybersecurity, or data management is essential. Continuing education and professional development in emerging technologies and industry trends are encouraged to maintain expertise.

A bachelor’s degree in business administration, finance, accounting, or a closely aligned field is required for this position.
