Examine approved purchase requisitions to ensure specifications, quantities, budget allocations, and timelines are provided in full. Once verified, delegate appropriate follow-up tasks to the Procurement Assistant.

Develop and implement the RFQ sourcing strategy, including supplier selection, invitation list compilation, and timeline management, ensuring all quotation comparisons are thoroughly conducted and precise prior to approval.

Conduct comprehensive assessments of potential suppliers, evaluating critical factors including pricing, quality standards, lead times, and compliance documentation, and endorse final recommendations prior to the issuance of a Local Purchase Order (LPO).

Review and authorize purchase orders (Los) in strict accordance with the established approval matrix, guaranteeing their timely issuance and distribution to both suppliers and relevant internal stakeholders.

Manage follow-up activities for all outstanding Los, ensuring timely resolution of delays and backorders by coordinating corrective measures with suppliers and keeping internal stakeholders apprised of progress.

Ensure receiving confirmations are accurately completed in collaboration with Stores/Users, including delivery notes, Goods Received Notes (GRNs), and service completion confirmations.

Handle procurement discrepancies—such as incorrect items, incomplete shipments, damaged goods, or delivery delays—by facilitating resolutions through replacements, issuing credit notes, and ensuring supplier accountability.

Ensure complete adherence to procurement documentation protocols and filing procedures, encompassing requisitions, RFQs, quotes, comparative analyses, approvals, local purchase orders (Los), goods receipt notes (GRNs)/delivery confirmations, invoices, and contract/warranty documentation.

Collaborate closely with Finance/Accounts to verify supplier invoices against Los and delivery documentation through 3-way matching controls, ensuring prompt and accurate payment processing.

Prepare and deliver weekly status reports to management, covering open requisitions, outstanding local purchase orders (Los), pending deliveries, escalations, and critical supplier issues.

Oversee the creation, tracking, and administration of departmental budgets and procurement strategies to ensure financial alignment and operational efficiency.

Conduct supplier sourcing and assessment activities while maintaining strict adherence to organizational standards.

Proactively engage in strategic negotiations to finalize high-value contracts and establish comprehensive framework agreements, ensuring the attainment of optimal terms and conditions.

Ensure adherence to all statutory and regulatory procurement mandates.

Leverage collective procurement requirements across departments to achieve optimal economies of scale.

Perform comprehensive market research to detect emerging trends, assess price volatility, and evaluate potential alternative suppliers.

Streamline procurement operations by establishing uniform procedures and integrating industry-leading methodologies to enhance overall efficiency.

Evaluate and authorize supplier prequalification procedures to guarantee that only thoroughly assessed and approved suppliers are contracted.

Evaluate procurement Key Performance Indicators (KPIs) to assess and measure the department’s operational effectiveness continuously.

Prepare regular reports for management summarizing procurement activities, cost savings, and supplier performance metrics to ensure transparency and data-driven decision-making.

Minimum requirements include a Bachelor’s degree in a relevant field, such as computer science, engineering, or mathematics, along with three to five years of professional experience in a related discipline. Proficiency in programming languages such as Python, Java, or C++ is essential, along with a strong understanding of data structures and algorithms. Candidates must demonstrate problem-solving abilities, effective communication skills, and the capacity to work collaboratively in a team environment. Familiarity with software development methodologies, version control systems, and agile practices is highly desirable.

A Bachelor’s Degree in Procurement, Supply Chain Management, or a closely related discipline is required.

A valid registration with the Kenya Institute of Supplies Management (KISS) is required.

Professional certifications, such as those offered by CAPS, will be considered a valuable asset.

A minimum of three to five years of progressive experience in procurement and supply chain is required, with a minimum of two years in a supervisory or coordinator capacity.

Proven expertise in negotiating with suppliers, managing contracts, and executing strategic sourcing initiatives.
