Job Highlight:

You will assist with the financial, operational, and administrative functions essential to the P4G initiative at WRI. Your responsibilities will encompass budget management, contract processing, and ensuring adherence to grant requirements. Additionally, you will collaborate closely with P4G staff on various projects and provide guidance to colleagues on internal workflows and systems. Support will be provided by the P4G operations and partnerships teams, as well as operations staff across WRI. This role reports directly to the Operations Manager for P4G.

This role will operate under a hybrid model, combining both remote and in-office work arrangements.

What you will do:

Budgeting and Financial Management commands thirty percent of this role’s time allocation. The incumbent will oversee fiscal planning, develop and monitor budgets, and ensure adherence to financial policies and regulations. Responsibilities include analyzing financial data, forecasting trends, and presenting insights to senior leadership to support strategic decision-making. Proficiency in financial software and strong analytical skills are required, along with experience in budget preparation and variance analysis. Collaboration with department heads to align financial goals with operational objectives is essential.

Provide assistance to the P4G Operations team by managing day-to-day project financials, verifying financial transactions, and maintaining accurate budgets within WRI’s financial software.

Monitor the project’s financial performance by comparing actual expenditures against the established multiyear budget to ensure alignment with output-based funding allocations.

Facilitating financial reporting processes and conducting financial audits are key responsibilities of this role.

Assist in the preparation of yearly financial plans aligned with the operational strategy and outcome-based frameworks.

Develop and execute long-term financial strategies, with a focus on creating new proposal budgets and driving financial growth initiatives.

Grants & Contracts Management (30% time): This role entails overseeing the administration, compliance, and financial stewardship of awarded grants and contracts, ensuring alignment with sponsor requirements and institutional policies. Key responsibilities include preparing and submitting accurate proposals, managing post-award reporting obligations, and ensuring adherence to regulatory standards. The position requires meticulous attention to detail, strong organizational skills, and proficiency in financial tracking and documentation. Additionally, the role demands the ability to interpret complex funding guidelines, maintain clear communication with stakeholders, and resolve discrepancies in a timely manner.

Work closely with the P4G team to guarantee adherence to the stipulations outlined in funding award agreements.

Process and manage subgrant and contract agreements with partners, handling payment administration and agreement amendments in coordination with the partnerships team as necessary.

Provide assistance to the P4G Operations Manager and the grants management team to ensure sub-awardees adhere to administrative grant requirements, with a focus on the punctual submission of reports and audits.

Operations and Administration (40% time)

You will oversee approximately 40% of your role dedicated to operations and administrative functions, ensuring efficient workflow management and organizational support. This encompasses maintaining documentation, coordinating internal processes, and facilitating communication across departments to enhance productivity. Additionally, you will handle scheduling, resource allocation, and compliance with established policies and procedures, contributing to the smooth functioning of daily operations. Strong organizational skills and meticulous attention to detail are essential to succeed in this capacity.

Assist the P4G Operations Manager in maintaining punctual and precise submission of progress and financial reports while ensuring adherence to internal budgeting, contract, and procurement procedures and timelines.

Provide support in addressing operational challenges and reducing potential operational risks to enhance overall efficiency and stability.

Collaborate with the P4G team and Human Resources to facilitate the recruitment of new personnel and assist in the onboarding of new staff and consultants.

Offer assistance to P4G in organizing both internal and external events, workshops, and conferences as required.

Work in partnership with the P4G team to oversee the digital archiving process in SharePoint, maintaining organized, current, and readily accessible data storage.

Offer administrative support to the Executive Director on an as-needed basis.

What you will need:

Education: A bachelor’s degree in a relevant field is required, with preference given to candidates holding advanced degrees such as a Master’s or Ph.D. in Computer Science, Engineering, or a related discipline. Equivalent professional experience may be considered in lieu of formal education, provided it meets the specified criteria. Proficiency in academic research, data analysis, and technical writing is essential. Familiarity with industry-specific methodologies and standards is highly advantageous.

You must possess a completed bachelor’s degree in business administration, finance, accounting, or a related field of study.

Experience in a related field is essential, typically requiring a minimum of three years in a professional setting. Proficiency in specific software or tools relevant to the role is often mandatory. Strong problem-solving abilities and meticulous attention to detail are critical for success. Effective communication skills, both written and verbal, are necessary to collaborate with team members and stakeholders. The ability to manage multiple tasks under tight deadlines while maintaining high-quality standards is highly valued. Prior experience in project management or leadership roles may be advantageous.

You must possess a minimum of three years of full-time, relevant professional experience in the field.

Individuals with a proven track record in project or organizational operations, financial management, administrative coordination, scheduling optimization, or bookkeeping are strongly encouraged to apply. Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint is required.
