The HR/Admin Intern collaborates closely with the HR/Admin Manager and receives daily direction from the HR/Admin Assistant to assist with essential HR and administrative functions, all while developing hands-on experience in human resources and office operations.
The internship involves assisting with recruitment efforts, managing filing systems, handling documentation, and coordinating general office operations.
Oversee the comprehensive execution of key operational duties, ensuring alignment with organizational objectives and adherence to established policies and procedures. Develop and implement strategic initiatives to enhance productivity, efficiency, and overall performance. Lead cross-functional teams to achieve departmental and company-wide targets, fostering a collaborative and results-driven work environment. Serve as a primary point of contact for internal and external stakeholders, facilitating clear communication and resolving escalated issues promptly. Provides comprehensive assistance to the Human Resources department, handling a wide range of administrative tasks such as maintaining employee records, processing paperwork for new hires, and managing leave requests. Assists with recruitment efforts, including coordinating interviews and onboarding procedures to ensure smooth integration of new employees. Addresses employee inquiries regarding benefits, policies, and procedures, offering clear and timely responses to foster a productive work environment. Collaborates with HR specialists to implement and update company policies, ensuring compliance with labor laws and regulations. Maintains confidentiality and discretion in all HR-related communications and documentation.
Provide support in managing recruitment initiatives, facilitating interview procedures, and coordinating staff onboarding activities.
Verify that all staff personnel files are maintained in full compliance with ACTED’s established policies, ensuring completeness and timeliness of updates.
Provide support in organizing and maintaining HR documents through both physical and digital filing systems.
Regularly maintain and update leave trackers and staff databases to ensure accuracy and completeness.
Assist in assembling OUT correspondences for managerial review prior to their distribution to designated offices and personnel.
Facilitate the dissemination of HR-related information to field teams as needed to ensure alignment and clarity.
Support travel arrangements by coordinating flight bookings, organizing airport pick-ups, overseeing visa processing follow-ups, and arranging accommodations.
Provide support in the maintenance and organization of HR and administrative records and documentation.
Perform additional responsibilities as assigned by management to support overall operational needs and objectives.
