The HR/Admin Intern collaborates closely with the HR/Admin Manager and receives daily direction from the HR/Admin Assistant to assist with essential HR and administrative duties, enabling hands-on learning in human resources and office operations.

The internship role involves assisting with recruitment efforts, managing filing systems, handling documentation, and supporting general office coordination tasks.

Overseeing a comprehensive range of duties, the position involves managing key operational tasks, ensuring adherence to company standards, and fostering collaboration across departments to achieve organizational objectives. The role demands meticulous attention to detail, strong analytical capabilities, and the ability to execute strategic initiatives while maintaining efficiency and accountability. The HR Support role involves providing comprehensive assistance to the Human Resources department, ensuring efficient and effective management of HR processes. This position requires a thorough understanding of HR policies, procedures, and compliance standards. Key responsibilities include handling employee inquiries, maintaining accurate records, assisting with recruitment efforts, and coordinating employee benefits administration. The ideal candidate will possess strong organizational skills, exceptional communication abilities, and a customer-focused approach. Proficiency in HR software and systems is essential, along with the capability to work collaboratively across various departments. This role plays a crucial part in fostering a positive workplace environment and supporting both employees and the HR team.

Support recruitment initiatives, facilitate interview procedures, and coordinate staff onboarding activities.

Ensure all personnel files for staff members are fully maintained and kept current in compliance with ACTED’s established policies.

Support the organization and retention of HR documents through both physical and digital filing systems.

Regularly update leave trackers and staff databases to ensure accurate and current information.

Assist with the preparation of outgoing correspondences, which will then be reviewed by the line manager prior to being sent to the appropriate offices and staff members.

Provide assistance in disseminating HR-related information to field teams as needed.

Facilitate comprehensive travel logistics by managing flight reservations, coordinating airport transportation, overseeing visa application reviews, and securing suitable lodging accommodations.

Provide support in the maintenance and organization of HR and administrative records to ensure accuracy and compliance with established procedures.

Perform all additional tasks as assigned by the appropriate personnel.

Nature of the Position

• Must possess a Bachelor’s degree in engineering or a related field, with a minimum of 5 years of professional experience.
• Proficiency in CAD software, structural analysis tools, and project management methodologies is essential.
• Strong analytical and problem-solving skills, with a keen attention to detail and rigorous adherence to safety standards.
• Excellent communication abilities to collaboratively engage with cross-functional teams and stakeholders.
• Capable of managing multiple projects simultaneously while maintaining strict deadlines and delivering high-quality results.
• Experience with regulatory compliance, code requirements, and industry best practices is required.
• Demonstrated leadership in guiding junior engineers and mentoring team members to foster professional growth.
• Ability to conduct site inspections, evaluate structural integrity, and propose corrective actions when necessary.

Recent graduates or students in their final year of study pursuing degrees in Human Resource Management, Business Administration, International Relations, or comparable disciplines are encouraged to apply.
