KEY RESPONSIBILITIES INCLUDE:

Ensuring adherence to organizational objectives through meticulous oversight of critical functions, overseeing day-to-day operations to maintain alignment with strategic goals. Managing cross-functional teams to optimize performance, fostering collaboration while driving efficiency and accountability. Developing and implementing policies, procedures, and best practices to enhance operational excellence and mitigate risks. Monitoring key performance indicators (KPIs) to evaluate progress, identifying gaps, and implementing corrective actions as needed. Leading project initiatives from inception to completion, coordinating resources, timelines, and stakeholders to deliver measurable outcomes. Serving as a liaison between senior leadership and operational teams to facilitate transparent communication and informed decision-making.

Developing comprehensive proposals is a key responsibility, requiring meticulous attention to detail, strong writing skills, and the ability to meet strict deadlines. This role involves crafting persuasive and well-researched proposals to secure new business opportunities, ensuring alignment with organizational goals and client needs. Proficiency in proposal software and tools, along with a deep understanding of proposal best practices, is essential for success in this position. Candidates should possess excellent communication skills, both written and verbal, to collaborate effectively with cross-functional teams and stakeholders throughout the proposal lifecycle.

Ensure all award documentation is meticulously managed, processed promptly during the proposal stage, and uploaded to AMS. Additionally, oversee the related workflows to confirm their timely execution.

We oversee the administration, development, and strategic alignment of awards programs, partnerships, and AMS (Association Management Services), ensuring seamless execution and maximizing stakeholder engagement. This role requires meticulous organizational skills, a keen eye for detail, and the ability to manage multiple high-priority initiatives concurrently. Key responsibilities include cultivating and maintaining strategic partnerships, administering award programs with precision, and providing comprehensive AMS to affiliated organizations. Proficiency in stakeholder communication, project management, and data-driven decision-making is essential to drive impactful outcomes and foster long-term growth.

Assist in the preparation for the monthly Award and Partner review meetings, document action items discussed during the sessions, and ensure their timely distribution to all relevant stakeholders.

Assist with the execution of partner screening and evaluation processes to ensure compliance and mitigate risks.

Assist in drafting and finalizing partner agreements to ensure alignment with organizational objectives and compliance requirements.

Assist with the coordination and execution of partner payment processes to ensure timely and accurate disbursements.

Assist in the preparation and execution of partner monitoring visits to ensure adherence to established guidelines and standards.

Ensure award kickoff and close out meetings are scheduled promptly and organized in close coordination with all relevant functions.

Provide assistance in managing the income and funding trackers and deliver weekly progress updates to the team.

Assist in managing the close-out backlog tracker and conduct consistent follow-ups with relevant teams to ensure the resolution of outstanding Sons.

Assist the Awards Assistant by consistently updating and distributing the partner reporting tracker, as well as maintaining the accuracy of the Awards Management System (AMS) in a timely manner.

Provide assistance to the Awards Assistant by ensuring calendar invitations for award-related meetings are dispatched punctually.

Facilitate the implementation of action items discussed in recognition ceremonies by ensuring they are reviewed and distributed promptly.

Responsibilities include compiling management information from AMS and distributing it to the team through a monthly portfolio analysis report, which highlights key metrics such as awards in the pipeline, active awards, awards under amendment, high-risk awards, and closed awards.

Maintain the AMS to ensure it remains current and accurately documents the complete audit trail for all awards and sub-awards.

Ensures adherence to all regulatory, legal, and organizational guidelines governing donor contributions and financial transactions, maintaining meticulous records of all gifts and ensuring compliance with relevant tax and reporting requirements. Verifies eligibility of donors and approvals for specific funding sources, and coordinates with accounting and legal teams to resolve any compliance discrepancies. Monitors and reports on compliance performance, identifying trends or risks and implementing corrective measures as necessary to uphold the highest standards of integrity and accountability in all donor-related activities.

Ensure compliance with donor requirements by clearly communicating and enforcing deadlines for reporting, timelines for implementation, amendment procedures and timing, audit protocols, and policies governing SCI awards.
