Ensure the timely management, processing, and uploading of all award documentation during the proposal stage into AMS, while also executing the associated workflows promptly.

The department oversees the administration of awards, nurtures strategic partnerships, and manages AMS initiatives to drive organizational growth and collaboration.

Assist in the preparation for the monthly Award and Partner review meetings, documenting action points discussed during the sessions and ensuring their prompt distribution to relevant stakeholders.

Assist in the execution of partner vetting and evaluation processes to ensure compliance and mitigate risks.

Assist in the development and finalization of partner agreements to ensure all terms and conditions are accurately documented and legally compliant.

Assist in facilitating and organizing partner remuneration processes.

Assist in the preparation and execution of partner monitoring visits to ensure thorough oversight and compliance with established protocols.

Ensure prompt planning and seamless coordination for the initiation and completion of award kick-off and close-out meetings in collaboration with all relevant functions.

Assist in managing the income and funding trackers, providing the team with weekly updates on their status.

Responsibilities include assisting with the maintenance of the close-out backlog tracker and conducting routine follow-ups with multiple teams to ensure timely resolution of pending Statements of Fact (Sons).

Provide assistance to the Awards Assistant by maintaining the partner reporting tracker and ensuring its accurate distribution, while also updating the Awards Management System (AMS) promptly.

Provide administrative assistance to the Awards Assistant by ensuring prompt distribution of calendar invitations for award-related meetings.

Facilitate the implementation of action items discussed in award ceremonies, ensuring they are promptly reviewed and distributed in a timely manner.

Assist in compiling monthly management information from AMS and distributing it to the team through a portfolio analysis report, which includes details on awards in the pipeline, active awards, awards under amendment, high-risk awards, and closed awards.

Maintain the AMS to ensure it remains current, functional, and reliable while meticulously documenting a precise audit trail for all awards and sub-awards.

Ensures adherence to regulatory standards and internal policies governing charitable contributions. Monitors and verifies donor eligibility, contribution tracking, and tax compliance documentation. Conducts periodic audits to confirm accuracy of gift records and reporting. Collaborates with legal and finance teams to resolve discrepancies and mitigate compliance risks. Maintains up-to-date knowledge of evolving tax laws and nonprofit regulations to guide organizational practices.

Ensure donor compliance by facilitating a clear understanding and adherence to key requirements, including reporting deadlines, implementation periods, amendment timing and procedures, as well as audit and SCI award management policies.

Bachelor’s degree in Computer Science, Information Technology, or a related field is required, along with a minimum of five years of professional experience in network administration, infrastructure management, or cybersecurity. Proficiency in TCP/IP, DNS, DHCP, VPN, and routing protocols is essential, as is hands-on experience with firewalls, load balancers, and intrusion detection/prevention systems. Strong problem-solving abilities and excellent communication skills are necessary to collaborate effectively with cross-functional teams. Certifications such as CCNA, Compton Security+, or CISSP are highly desirable.
