Oversee and execute a comprehensive range of essential duties and responsibilities to ensure seamless operational efficiency and adherence to established organizational standards.

Organize, categorize, and maintain supporting documentation submitted by country teams and grantees to facilitate seamless traceability and rapid retrieval for review and audit processes.

Conduct initial reviews of submitted supporting documentation to ensure alignment with donor and internal compliance checklists, identifying any deficiencies or irregularities, and promptly escalating them to the responsible Program Finance Officer for resolution.

Maintain a current documentation status tracker organized by country, partner, and submission cycle, while actively coordinating with country teams to secure any outstanding or revised documents within the specified response periods.

Ensure prompt preparation and submission of supporting documentation to donors, comprising the assembly of submission packs, adherence to specified naming and labelling standards, and playing a key role in reaching the 95% approved-expenditure milestone.

Collaborate with the records management team to streamline the scanning, filing, and labeling of YEFFA supporting documentation, guaranteeing precise retrieval, meticulous archival practices, and a favorable audit outcome for the Program Finance function.

Program Finance Officers receive assistance in donor resubmission and compliance correction efforts, which involves preparing follow-up correspondence to country teams and submitters to facilitate the timely resolution of pending documentation inquiries.

Key qualifications needed to include a Bachelor’s degree in a relevant field, along with a minimum of five years of hands-on experience in a comparable role. Proficiency in industry-standard software and tools, as well as strong analytical and problem-solving abilities, is essential. Excellent communication and organizational skills are also required to effectively collaborate with cross-functional teams and manage multiple priorities. Additionally, candidates should demonstrate a proven track record of meeting deadlines and delivering high-quality results in fast-paced environments.

A recent graduate or a student in their final year pursuing a degree in accounting, finance, or a closely related discipline is required.

A fundamental knowledge of financial management and reporting methodologies is required.

Demonstrates exceptional organizational, time management, and communication skills.

Demonstrates strong working knowledge of Microsoft Office Suite, including Word, Excel, and PowerPoint.

Demonstrates meticulous attention to detail and a proactive attitude toward continuous learning.

Demonstrates a strong commitment to maintaining strict confidentiality while thriving in a multicultural setting characterized by rapid pace and dynamic challenges.
