POSITION OVERVIEW:
The Maintenance Coordinator oversees daily facility maintenance operations, ensuring the repair and upkeep of buildings, water systems, grounds, furniture, nonmedical equipment, and waste management across hospital premises to maintain optimal safety and functionality. This role supports the Facility Manager/Director in sustaining seamless facility and infrastructure operations while coordinating related projects, including building and construction initiatives.
Essential responsibilities include performing a diverse range of tasks integral to the role’s core functions. Key among these duties is analyzing data to identify trends, evaluating processes to enhance efficiency, and collaborating with cross-functional teams to implement improvements. Additionally, the position requires maintaining meticulous records, ensuring compliance with established policies, and reporting findings to stakeholders in a clear, concise manner. Candidates must demonstrate strong analytical skills, proficiency in relevant software, and the ability to work independently with minimal supervision.
Responsibilities include executing maintenance tasks for assets overseen by the Facility Manager or Director, ensuring all operational systems and infrastructure remain in optimal condition.
Provide support in the strategic planning, development, and implementation of authorized construction and renovation initiatives to achieve project objectives efficiently and within established guidelines.
Develop and enforce the maintenance strategy as outlined in the CMS (computerized asset management system), while ensuring its consistent execution. Additionally, provide support to the maintenance team to help them meet the facility’s maintenance objectives.
Serves as the organization’s internal auditor, responsible for reviewing and evaluating all tasks, assignments, and work performed by external contractors.
Compiles comprehensive documentation for internal construction initiatives, including bills of quantities (BOQ’s), project plans, inspection reports, and handover documentation.
The incumbent oversees the upkeep and administration of the Computerized Maintenance Management System (CMMS), offering comprehensive training to system users. Each year, they conduct a thorough audit of the system’s data and collaborate with the Facility Manager or Director to address discrepancies and implement necessary updates.
Direct supervision and mentorship of the maintenance team are required to uphold approved facility and equipment maintenance standards and protocols.
Coordinates maintenance activities in collaboration with various departments to ensure seamless departmental operations and effective execution of maintenance tasks.
Supports the Facility Manager/Director by crafting and executing maintenance schedules for facility infrastructure and associated nonmedical equipment not covered under service agreements.
Oversee the inventory tracking of all supplies, tools, and equipment allocated to the maintenance department. Additionally, verify that maintenance personnel are equipped with and properly use the necessary personal protective equipment (PPE), tools, and materials required to complete their assigned tasks efficiently.
The role entails overseeing all part-time staff engaged in internal construction initiatives, verifying compliance with the minimum standards outlined in the hospital’s employment guidelines.
Documents maintenance tasks, achievements, and any reported incidents for review by the Facility Manager/Director.
Collaborates closely with the maintenance team to execute maintenance tasks effectively. Performs hands-on maintenance and construction duties encompassing buildings, water and wastewater systems, electrical systems, as well as furniture, fixtures, and equipment (FFE), among other responsibilities.
Supervises the restoration of tools and equipment in collaboration with qualified staff members or external vendors, as necessary.
Maintains a current repository of equipment manuals and schematic diagrams provided by manufacturers, both in electronic and physical formats.
Maintains adherence to safety protocols by utilizing appropriate protective gear throughout all operational activities.
Demonstrates clear and professional communication with colleagues about equipment and facilities, ensuring their correct and efficient use.
The maintenance team’s performance is documented and communicated to the Facility Manager/Director.
Develop and manage work schedules for teams in accordance with the directives and oversight provided by the Facility Manager/Director.
Ensures the proper storage, issuance, utilization, maintenance, and overall management of all maintenance-related tools and assets assigned to the hospital.
Must be prepared to provide on-call coverage, including weekends, evenings, and holidays, as needed.
Maintain strict adherence to all Health & Safety policies and procedures throughout all work activities, ensuring the proper use and wearing of required Personal Protective Equipment.
