This consultancy aims to lead the qualitative data collection effort for the AIM Plus FY26 Baseline across all designated Area Programmes, guaranteeing that data are gathered with precision, ethical integrity, and efficiency before being submitted to the WVK National Office DMEAL team for analysis. Additionally, the consultant will train and supervise volunteers in administering the STAR tool in schools, conducting WASH facility assessments in both educational and healthcare settings, and evaluating the role of faith leaders in promoting child wellbeing.

The scope of work encompasses a comprehensive range of duties and responsibilities designed to achieve specific project objectives. Key requirements include a minimum of five years of relevant experience in the field, along with proficiency in industry-standard software and tools. The position demands strong analytical skills, exceptional attention to detail, and the ability to collaborate effectively within cross-functional teams. Responsibilities include conducting thorough research, developing strategic plans, and ensuring compliance with established policies and procedures. The role also involves regular progress reporting, stakeholder communication, and continuous process improvement to drive operational efficiency.

The consultant will be responsible for carrying out the following duties:

Conduct thorough pre-field preparation to ensure all necessary arrangements are completed before departure, including securing required permits, gathering essential equipment, and verifying travel logistics. Coordinate with relevant stakeholders to confirm schedules, access permissions, and safety protocols, while also conducting risk assessments to mitigate potential challenges. Additionally, prepare comprehensive documentation, review project objectives, and perform necessary checks to align with organizational standards and fieldwork requirements.

Review the AIM Plus Basic Information Sheet, sector-specific focus group discussion and key informant interview guides, and qualitative tools issued by the NOD MEAL team.

Acquaint yourself with the approved qualitative protocols from the Global Centre, as well as Re-adapted guides tailored for Child Sponsorship, CBO, WASH, Health, Education (STAR Tangerine/IDEA), and Faith & Development indicators.

Note:

School WASH, health facility, and faith leaders will conduct CWB assessments using WV-designed Kobe tools, while reading proficiency will be evaluated through the STAR Tangerine tool.

Attend a preliminary briefing and orientation session with the NOD MEAL team before commencing fieldwork activities.

Ensure adherence to all ethical standards, including compliance with ACOSTA regulations and the development of informed consent and assent scripts.

Data must be accurately recorded and submitted in accordance with established protocols to ensure integrity and compliance with regulatory standards. Maintaining precise documentation is essential, as is timely submission of all required reports to the appropriate authorities. Attention to detail is crucial to avoid discrepancies or delays that could impact operational efficiency. Familiarity with data management systems and adherence to confidentiality guidelines are also necessary to uphold security and privacy standards.

The consultant will gather, document, and deliver unprocessed qualitative data to the WVK NOD MEAL team, after which the NOD MEAL team will perform the analysis. The following protocols govern data recording and submission procedures.

All FGDs and Kids require audio recording, provided that explicit consent or assent from participants is secured beforehand.

The consultant is responsible for accurately transcribing all focus group discussions (FGDs) and key informant interviews (Kids) in their entirety. Each transcription must be finalized within 48 hours following the conclusion of a session.

Transcripts should explicitly identify, for every session, the specific group involved—such as “Children FGD Age 7 to 12,” “Adult FGD Female Caregivers,” or “KIT Health Facility In-charge”—along with the names of the assigned AP, the date and venue, the facilitator and note-taker, and the total participant count.

Responses should be documented systematically for each question, ensuring precise attribution of every answer or theme to its corresponding discussion question. The transcript structure must align with the FGD/KIT guide format, maintaining a clear, question-by-question organization of responses.

The consultant is responsible for conducting structured assessments, including administering the STAR Tangerine reading proficiency tool to 50 Grade 3 students per implementation area (AP), with detailed documentation of each child’s responses per question. Additionally, the consultant must complete WV-designed Kobe tools for school WASH assessments in 20 schools per AP, health facility assessments across all designated facilities, and faith leaders’ CWB assessments. Each Kobe submission must clearly indicate the associated school, facility, or respondent, AP, date, and assessor. The Kobe data must be submitted to the NOD MEAL team in the format specified during orientation.

Audio files and corresponding transcripts should be stored securely and transmitted to the NOD MEAL team through WOK-approved secure digital channels. It is essential that audio files are preserved and submitted in conjunction with their transcripts.

Field notes documenting non-verbal signals, group interactions, and contextual details are required to complement audio recordings for every Focus Group Discussion/Key Informant Interview.

Objective and Scope of Work: The project, titled AIM PLUS FY26 Qualitative Data Collection, outlines the parameters and deliverables for conducting qualitative research initiatives. This assignment involves gathering in-depth insights through structured methodologies to support data-driven decision-making processes. The scope encompasses designing research protocols, engaging with stakeholders, and compiling findings into actionable recommendations for organizational advancement.

All submitted data must adhere to WVK’s data protection protocols by ensuring completed e-identification, explicitly excluding any participant names.

The consultant is not responsible for qualitative data analysis. All submitted transcripts and data will undergo thematic analysis and synthesis by the NOD MEAL team.

World Vision Kenya will extend the following support to the consultant:

Reviewed and authorized qualitative tools, including focus group discussion guides, key informant interview guides, and assessment instruments, before their deployment in the field.

The NOD MEAL team will conduct an orientation and provide a briefing covering the AIM Plus methodology, relevant tools, and ethical requirements.

Introductory correspondence and facilitation of community engagement are conducted in collaboration with AP Managers and Cluster DEAL Officers.

Access to AP-level participant lists along with sampling frames, including RC lists, caregiver rosters, and school or facility directories, is required.

Logistical support coordination, including field scheduling and AP-level contact management, requires that transportation and accommodation expenses be incorporated into the consultant’s financial proposal.

A robust digital submission system is in place to handle transcripts and audio files efficiently.

Serves as the primary point of contact for NOMAD field coordination and quality feedback on a daily basis.

Ethical Considerations and Safeguarding encompass the principles and practices essential for protecting individuals’ rights, dignity, and well-being while ensuring compliance with legal and professional standards. This role requires a thorough commitment to identifying and mitigating risks, promoting transparency, and fostering an environment of trust and accountability. Responsibilities include developing and implementing safeguarding policies, conducting risk assessments, and providing training to staff on ethical practices and compliance requirements. A strong understanding of relevant legislation, confidentiality protocols, and cultural sensitivity is imperative, along with the ability to address concerns with discretion and integrity.

The consultant is required to possess a valid ACOSTA research permit before commencing fieldwork or, alternatively, to conduct activities under WVK’s institutional permit as instructed.

Informed consent must be secured from all adult participants before any focus group discussions (FGDs) or interviews commence. For participants under 18 years of age, written consent from a legal guardian or caregiver is required, accompanied by the participant’s affirmative agreement, communicated through developmentally appropriate methods prior to conducting FGDs or interviews.

All child-focused group discussions must take place within secure, child-friendly environments, led in a manner that ensures comfort and safety while avoiding any form of coercion or suggestive questioning.

Before commencing fieldwork, all consultants and field assistants involved in this assignment are required to sign and strictly comply with WVK’s Child Protection and Safeguarding Protocol.

The principle of Do No Harm governs all activities. Safeguarding concerns that arise during data collection must be promptly reported to the designated WVK Safeguarding Focal Person.

All personal data must be processed in strict adherence to WVK’s established data protection policies to ensure confidentiality and compliance. Under no circumstances should participant names be included in any transcripts or datasets provided for submission.

Audio recordings and photographs, when applicable, mandate explicit additional consent or assent prior to use, and their distribution is strictly prohibited in public domains or outside WVK without formal organizational authorization.
