Job Summary:
This role is responsible for ensuring Chief-Kenya adheres to all applicable Chief-Kenya, donor, and government regulations. This will be accomplished by implementing and utilizing best practice project management systems, actively contributing to the development of internal control frameworks within the ERP system, offering specialized guidance on donor requirements and regulations, facilitating contract negotiations and reviews, and fostering staff and business system capabilities to maintain compliance with contractual and donor mandates.
Responsibilities encompass a diverse array of tasks and obligations integral to the position. Key duties include managing daily operations, executing project plans, conducting thorough analyses, and ensuring adherence to established protocols. The role demands meticulous attention to detail, strong problem-solving abilities, and the capacity to collaborate effectively across teams. Additionally, responsibilities involve monitoring performance metrics, preparing comprehensive reports, and maintaining compliance with organizational standards. Proficiency in relevant software tools, effective communication skills, and a commitment to continuous improvement are essential to fulfilling these obligations successfully.
To maintain the effectiveness and compliance of existing internal control systems with Donor regulations and Chief-Kenya policies.
Conduct systematic evaluations of processes, practices, and documentation to proactively uncover opportunities for enhancement.
Conduct quarterly donor compliance spot checks and compile a quarterly report for submission to the Board and CEO. This involves reviewing sample documents from Finance, HR, Programs, Logistics, Procurement, and Grants, as well as sharing findings with the appropriate staff or departments to facilitate corrective measures.
Through partnership with the Board and CEO, deliver expert technical guidance or conduct educational initiatives aimed at enhancing departmental and staff awareness regarding donor compliance matters.
Assist in developing Internal Controls and enhancing the finance, procurement, and reporting modules within the proposed Chief ERP system.
Play a pivotal role in developing and enhancing internal control frameworks for the ERP system.
Assist in developing Internal Controls and enhancing business systems and reporting elements within the Chief ERP system.
Play a key role in conducting thorough risk evaluations and maintaining accurate updates to the risk register.
Investigations are initiated and conducted as necessary to address pertinent matters.
Seeking candidates with a Bachelor’s degree in a relevant field and a minimum of three years of professional experience in a comparable role, preferably within the industry. Strong proficiency in industry-standard software and tools is essential, along with excellent analytical, problem-solving, and communication skills. Prior experience managing projects, leading teams, or working in a fast-paced environment is highly advantageous. Proficiency in data analysis, report generation, and strategic planning is required.
A Bachelor of Commerce degree in accounting or a related field, coupled with the Certified Public Accountant (CPA-K) qualification, is required.
Certified Information Systems Auditor or Certified Internal Auditor credentials, coupled with at least eight years of hands-on experience in auditing, accounting, and ERP system deployment.
Demonstrated expertise in conducting audits for projects supported by USAID, CDC, and other international development organizations is required.
Proficient in both written and verbal English communication with a high degree of clarity and effectiveness.
Exceptional organizational abilities, a keen eye for detail, and the capacity to prioritize tasks effectively are essential; adeptness at collaborating with professionals from operations and finance domains is also required.
Proficient in utilizing the full suite of Microsoft Office productivity tools, including advanced capabilities in Word, Excel, PowerPoint, and Outlook, to enhance operational efficiency and collaboration.
