About the role

The People & Admin Associate plays a pivotal role in maintaining the operational efficiency of the EDU Kenya office while delivering essential administrative support to the People department. This position involves overseeing the seamless functioning of the Nairobi office, handling logistics, arranging travel, managing office supplies, and fostering an environment that promotes team productivity. Additionally, the role encompasses facilitating critical HR administrative functions such as coordinating onboarding and offboarding procedures, administering employee benefits, managing HRIS records, and tracking contracts.

What you will do:

We are seeking a highly organized and detail-oriented Office Administrator to oversee daily operations, ensuring seamless workflow and efficient administrative support. The ideal candidate will manage correspondence, maintain records, coordinate meetings, and handle various clerical tasks while maintaining confidentiality and professionalism. Strong communication skills, proficiency in office software, and the ability to multitask in a fast-paced environment are essential. Additionally, prior experience in an administrative role and familiarity with office equipment are required. Responsibilities include scheduling appointments, preparing reports, and supporting staff with administrative duties as needed.

Oversee the daily operations of the office, including procurement of supplies and equipment, efficient space utilization, and seamless logistics to guarantee on-time deliveries.

HR Operations Support is responsible for managing and streamlining HR processes, ensuring compliance with company policies and labor laws, and serving as a liaison between employees and management. This role involves maintaining employee records, processing payroll and benefits administration, and handling confidential HR matters with discretion. Additionally, the position requires strong organizational skills, proficiency in HRIS software, and the ability to multitask in a fast-paced environment. Candidates must have prior experience in HR operations, excellent communication skills, and a solid understanding of HR best practices and regulatory requirements.

Provide support for employee transition processes, such as onboarding and offboarding, which encompass documentation preparation, system configuration, and collaboration with supervisory staff.

Renew contracts by managing timelines, drafting necessary documentation, and ensuring timely follow-up communications.

Provide support for benefits administration, encompassing medical insurance, Work Injury Benefit Act (FIBA) coverage, pension plans, and Higher Education Loans Board (HELD) services, while maintaining precise and up-to-date records.

Responsibilities include managing and updating HR records within the HRIS platform, specifically Personio, while ensuring adherence to all applicable statutory mandates.

Provide assistance with payroll documentation and collaborate with HR to monitor performance tracking.

You will facilitate follow-up actions and coordinate necessary steps to ensure seamless progress and communication among relevant parties.

Oversee and pursue office and HR-related responsibilities to guarantee their punctual fulfillment.

Ensure seamless interaction among employees, supervisors, and external partners to facilitate efficient office operations and HR processes.

Provides comprehensive administrative assistance to ensure efficient office operations, handling tasks such as correspondence management, scheduling, data entry, and record-keeping. Manages appointments, coordinates meetings, and maintains organizational systems to support team productivity. Prepares reports, drafts communications, and assists with project coordination as needed. Demonstrates strong organizational skills, attention to detail, and proficiency in office software, including Microsoft Office Suite or similar tools. Must possess excellent communication abilities, both written and verbal, to interact professionally with internal and external stakeholders.

Provide support in the compilation, organization, and documentation of materials, as well as the preparation and maintenance of reports.
