About the role

The People & Admin Associate plays a pivotal role in maintaining the operational efficiency of the EDU Kenya office while delivering essential administrative support to the People department. This position involves overseeing the seamless functioning of the Nairobi office, handling logistics, arranging travel, managing office supplies, and fostering a productive environment for the team through streamlined day-to-day operations. Additionally, you will assist in executing critical HR administrative processes, including coordinating onboarding and offboarding, administering employee benefits, maintaining HRIS records, and tracking contracts, among other responsibilities.

What you will do:

The position involves overseeing the day-to-day operations of the office to ensure efficiency and smooth workflow. Key responsibilities include managing correspondence, maintaining filing systems, coordinating meetings, and handling communication with internal and external stakeholders. Proficiency in Microsoft Office Suite, exceptional organizational skills, and meticulous attention to detail are essential for success in this role. Additionally, the ideal candidate will demonstrate strong interpersonal abilities and the capacity to multitask in a fast-paced environment.

Oversee the daily operational management of the office, which includes procuring and managing supplies and equipment, optimizing office space utilization, and coordinating logistics to guarantee punctual deliveries.

Assist in the organization and execution of office functions and team meetings as needed.

Serve as a key intermediary between HR, Procurement, Operations, and Finance, facilitating seamless coordination for all office-related initiatives.

Serve as the primary representative for guests and external collaborators upon their arrival at the facility.

HR Operations Support professionals ensure the seamless functioning of human resources processes by providing administrative assistance, managing employee records, and facilitating efficient HR service delivery. They collaborate closely with HR teams to streamline workflows, address employee inquiries, and maintain compliance with company policies and labor regulations. Responsibilities include processing payroll, updating HR databases, coordinating recruitment activities, and assisting with onboarding and offboarding procedures. Strong organizational skills, attention to detail, and proficiency in HR software are essential, along with effective communication and problem-solving abilities. This role requires a proactive approach to identifying process improvements and ensuring data accuracy across HR systems.

Provide support for employee onboarding and offboarding procedures by handling documentation, configuring systems, and liaising with supervisors as needed.

Facilitate contract renewal processes by managing deadlines, compiling necessary documentation, and conducting follow-up communications.

Assist with the administration of employee benefits, including medical insurance, FIBA, pension plans, and HELD, while maintaining precise and up-to-date records.

Responsibilities include overseeing the management and updating of HR records within the HRIS platform (Personio) while ensuring adherence to all relevant statutory and regulatory obligations.

Provide assistance with payroll-related documentation and support human resources in monitoring employee performance.

Ensure diligent follow-up and seamless coordination of all related activities to maintain efficiency and alignment with established objectives.

Oversee and ensure the timely execution of office and HR-related duties through consistent monitoring and follow-ups.

Consistently facilitate clear and professional communication among employees, supervisors, and external partners to enhance office operations and HR processes.

Provide comprehensive administrative assistance across various departments, ensuring efficient day-to-day operations. Maintain organized filing systems, manage correspondence, and prepare reports as needed. Handle scheduling, coordinate meetings, and support staff with logistical arrangements. Demonstrate strong organizational skills, attention to detail, and proficiency in office software. Excellent communication abilities, both written and verbal, are essential for liaising with internal and external stakeholders.

Prepare, organize, and maintain documentation, files, and reports in accordance with established procedures and standards.

Assist the HR department in the implementation of operational projects and enhancement of existing processes.

A bachelor’s degree in Human Resources, Business Administration, or a closely related field is required.
