About the role

The People & Admin Associate plays a pivotal role in maintaining the seamless functioning of the EDU Kenya office while delivering essential administrative support to the People department. Your responsibilities will include overseeing the daily operations of our Nairobi office, handling logistics, arranging travel, managing office supplies, and fostering an environment that enhances team productivity. Additionally, you will assist in executing HR administrative functions such as coordinating onboarding and offboarding, administering benefits, maintaining HRIS records, and tracking contracts.

What you will do:

We seek an organized and detail-oriented professional to oversee the daily operations of our administrative department. The ideal candidate will manage office correspondence, maintain filing systems, and ensure seamless communication between departments. Proficiency in Microsoft Office Suite and exceptional written and verbal communication skills are essential. Responsibilities include coordinating meetings, preparing reports, and assisting with budget tracking. The role demands strong multitasking abilities, discretion in handling confidential information, and the capacity to support executives with high-level administrative tasks. Prior experience in an office environment is preferred.

Oversee the day-to-day operations of the office, including managing supply and equipment procurement, optimizing office space utilization, and coordinating logistics to guarantee prompt deliveries.

Facilitate the organization and execution of office events and staff meetings, ensuring seamless planning and coordination.

Serve as the intermediary connecting HR, Procurement, Operations, and Finance departments to streamline office-related processes and ensure seamless communication across teams.

Serve as the primary liaison between visitors, external partners, and office personnel, ensuring a welcoming and professional first impression.

Maintain the efficiency and functionality of the office environment on a daily basis.

We provide comprehensive administrative assistance to the Human Resources department, ensuring seamless execution of essential HR functions. This includes managing employee records, processing payroll data, and facilitating recruitment activities. Additionally, we handle benefits administration, maintain compliance with relevant labor laws, and support employee relations initiatives. The role demands meticulous attention to detail, strong organizational skills, and proficiency in HR software systems. Collaboration with cross-functional teams is essential to align HR processes with organizational objectives. Candidates must possess prior experience in an HR support role, a solid understanding of HR best practices, and exceptional communication abilities to effectively interact with employees at all levels.

Provide support for both onboarding and offboarding procedures by managing documentation, configuring systems, and collaborating with supervisors.

Support contract renewals by managing timelines, preparing necessary documentation, and conducting follow-up communications.

Provide support in managing employee benefits programs, including medical insurance, FIBA, pension, and HELD, while maintaining precise documentation and records.

Responsibilities include overseeing the management and updating of HR records within the HRIS platform (Personio) while ensuring adherence to all applicable statutory regulations.

Provide assistance with payroll-related documentation and support the HR team in monitoring employee performance metrics.

Follow up on outstanding tasks and ensure seamless coordination among team members to maintain project momentum and achieve objectives efficiently.

Oversee and pursue office and HR-related responsibilities to guarantee their punctual fulfillment.

Foster ongoing dialogue with staff, management, and external collaborators to ensure seamless office operations and effective HR processes.

Provides comprehensive administrative assistance to ensure efficient office operations and organizational effectiveness. Duties include managing correspondence, coordinating schedules, maintaining records, and facilitating smooth workflows. Strong organizational skills and attention to detail are essential, along with proficiency in office software and equipment. What you should bring:
