Job Summary:
This role is responsible for ensuring Chief-Kenya adheres to all organizational, donor, and governmental rules and regulations. To accomplish this, the position will implement and utilize optimal project management systems, play a key role in developing ERP internal controls, offer specialized guidance on donor requirements and regulations, assist in contract negotiations and reviews, and strengthen staff and business systems to maintain compliance with contractual and donor mandates.
Responsibilities encompass a diverse range of tasks and duties essential to delivering results. The position requires diligent execution of assigned responsibilities to ensure operational efficiency and effectiveness. This includes overseeing key functions, managing daily operations, and collaborating with cross-functional teams to achieve organizational objectives. Additionally, the role necessitates adherence to established policies and procedures while maintaining a commitment to quality, innovation, and continuous improvement.
To verify that current internal control systems are implemented and remain compliant with donor regulations and Chief-Kenya policies.
Consistently evaluate processes, practices, and documentation to pinpoint opportunities for enhancement.
Conduct quarterly assessments to ensure donor compliance and compile a report for submission to the Board and CEO. This process involves examining representative documentation from Finance, HR, Programs, Logistics, Procurement, and Grants, followed by sharing observations with appropriate personnel or departments to facilitate corrective measures.
In partnership with the Board and CEO, offer specialized technical assistance or facilitate educational initiatives to ensure all departments and staff remain fully informed about donor compliance matters.
Provide assistance in developing Internal Controls and enhancing the finance, procurement, and reporting functions within the proposed Chief ERP system.
Develop and enhance internal control frameworks for ERP systems, ensuring robust governance, risk management, and compliance with organizational policies and regulatory standards.
Assist with the development of Internal Controls and enhance business systems and reporting elements within the Chief ERP system through ongoing improvements.
Play a key role in conducting risk assessments and maintaining up-to-date risk registers to ensure comprehensive risk management across projects and operations.
Investigations are conducted as needed to ensure thorough analysis and resolution of pertinent issues.
We seek candidates with a strong academic background and relevant professional experience in the field. The ideal applicant will possess a degree in a related discipline and at least three years of hands-on experience in a comparable role. Proficiency in industry-standard software and tools, along with excellent analytical and problem-solving skills, is essential. Additionally, strong communication abilities and a demonstrated capacity for teamwork are required to collaborate effectively in a dynamic environment. Prior experience in project management or leadership roles is highly advantageous.
Bachelor’s degree in Commerce with an Accounting major or equivalent, complemented by a Certified Public Accountant (CPA) certification in Kenya.
Certified Information Systems Auditor or Certified Internal Auditor credentials, coupled with a minimum of eight years of hands-on experience in auditing, accounting, and ERP implementation, are essential for this role.
Extensive background in conducting audits for projects financed by USAID, CDC, and additional international development collaborators is required.
Proficient in both written and verbal English communication, with a strong command of the language.
Exceptional organizational capabilities, a strong aptitude for prioritization, and meticulous attention to detail are essential; the role also requires the capacity to collaborate effectively with professionals from operations and finance backgrounds.
Proficient in utilizing advanced features of Microsoft Office suite applications.
