Job Purpose:

Responsible for stocking, overseeing, and distributing consignment items, including medical-surgical supplies, pharmaceuticals, pathology and radiology materials, food and beverage provisions, engineering components, capital expenditure (CAPEX) items, and general inventory, as well as non-inventory goods needed across hospital-wide operations, outreach programs, and university center facilities. Ensures precise reporting of inventory levels within designated areas of responsibility.

Oversee the planning, execution, and completion of assigned projects, ensuring adherence to established deadlines and quality standards. Collaborate with cross-functional teams to align objectives and streamline workflows, fostering efficient communication and problem resolution. Monitor progress through regular evaluations, identifying potential risks and implementing corrective measures to mitigate delays or budget overruns. Prepare detailed reports on project status, milestones achieved, and key performance indicators for stakeholders. Maintain compliance with organizational policies, industry regulations, and best practices throughout all project phases. Act as a liaison between senior management and team members to clarify expectations and ensure resource allocation aligns with strategic goals.

Responsible for overseeing the designated warehouse and/or Sub Store operations.

Respond to inquiries and requests for service materials submitted by end-users.

Accurate and prompt issuance of items must be consistently maintained.

Accurate and prompt posting, updating, and issuance of items within the system must be consistently maintained to ensure completeness and timeliness.

Items must be organized, identifiable, and traceable to ensure safe and efficient stacking.

Proactively monitor inventory levels and notify the purchaser promptly when items are nearing depletion to prevent stock outs.

To determine the most effective quantities of items requiring restocking, ensuring inventory levels align with demand forecasts and operational requirements.

Upon receipt of inventory from suppliers in accordance with Purchase Orders, the role involves meticulously verifying both the quantity and quality of delivered goods to ensure accuracy and compliance with established standards.

Accurate and timely receipt and verification of invoices, followed by prompt forwarding to Finance for processing.

Help ensure inventory levels align with minimum stock thresholds by monitoring supply and facilitating timely replenishment.

Ensure the quality of all received goods from vendors, warehouses, and sub-stores is thoroughly inspected and verified.

Investigate unresolved issues reported by end users that remain pending acceptance.

Ensure stock movement is executed in strict compliance with the First-Expired-First-Out (FEFO) methodology.

Oversee a minimum threshold of expirations and obsolescence of inventory items to ensure efficient stock management and cost control.

Participate in quarterly inventory audits to ensure accurate stock records.

Ensure timely completion and submission of daily checklists, as well as monthly bulk SPR reports for inventory replenishment, slow-moving inventory, approved disposal forms, and QVR reports.

Additional responsibilities may be delegated by the PSCMD Supervisor, Assistant Managers, Managers, or PSCMD leadership, encompassing duties related to the role and function of a Purchase Assistant.

Seeking candidates with a strong academic background and relevant professional experience in the specified field. Applicants must possess a minimum of [X years] of hands-on experience in a related role, along with proficiency in key technical skills such as [list skills]. Professional candidates should possess a minimum of two years of relevant professional experience in a comparable field or work setting.

Proficient in utilizing Microsoft Office applications, specifically Microsoft Excel and Microsoft Word.

Proven capability to collaborate effectively within a team environment, coupled with a strong sense of initiative and a proactive approach to problem-solving.

Demonstrates exceptional proficiency in customer service and possesses strong interpersonal and communication abilities.

Must be capable of lifting heavy boxes, climbing, and bending as required by the position.

Proficient in warehousing and inventory management practices, with a solid understanding of stocking procedures and warehouse operations.
