Comply with all policies, tools, handbooks, and guidelines established by the Nuclear Regulatory Commission (NRC).
Support the execution of the support function portfolio in alignment with the established action plan.
Prepare and develop status reports in accordance with management requirements.
Ensure the accurate and systematic organization of all administrative documents by establishing and maintaining a compliant filing system in accordance with established procedures.
Collaborate with the IT Coordinator in Nairobi to manage computer-related services, maintenance activities, and license renewals.
Responsibilities
The scope of these responsibilities will be tailored to the unique aspects of the job location, operational phase, strategic priorities, and the nature of the program intervention.
Prepare and manage payroll data for casual and incentive staff, ensuring timely and accurate coordination before submission for review.
Convene with relevant partners including VET, AEP, and Keighley Compounds to oversee and maintain the security and safety protocols for all NRC assets within the DMO region.
Demonstrate organizational representation in meetings focused on compound management.
Coordinate the cleaning and renovations of NRC compounds, specifically Care and Main facilities, in addition to overseeing and directing the work of casual staff members.
Procure, receive, log, allocate, and manage sufficient inventory levels for office and accommodation assets and consumables.
Accommodations for staff and visitors must be arranged, including the completion of check-in procedures and subsequent payment follow-ups.
Ensure timely payment of utility bills, such as electricity and water, in coordination with the Finance and HR Officers.
Oversee the asset register’s maintenance and updates while ensuring all NRC assets are properly registered in accordance with NRC asset management guidelines, Standard Operating Procedures, and donor regulations.
Ensure all NRC assets remain in optimal condition, proactively addressing any maintenance needs as necessary.
Before assigning the equipment to the requester, complete the handover process by accurately filling out the Equipment Check-In/Check-Out form.
Accurate completion of asset-related documentation is essential, including Equipment Check-In/Check-Out forms, Waybills, Donation Certificates, Asset Transfer Forms, and other relevant documents.
Perform quarterly physical inspections of assets to ensure accuracy and accountability.
Consistently communicate health, safety, and security updates to staff while enforcing compliance with established security policies and procedures.
Engage with United Nations agencies, non-governmental organizations, and other external stakeholders to procure pertinent security information and analyses within the Dadaab region.
Verify that all health, safety, and security equipment is present and fully operational.
Responsible for the secure custody and management of all office keys.
You may be required to undertake additional responsibilities as directed by your line manager from time to time.
Qualifications
Professional candidates must possess prior hands-on experience in administrative roles or within safety and security operations, specifically within humanitarian or recovery-focused environments.
Professional experience gained in challenging, unpredictable environments is required.
Achieved outcomes and maintained records pertinent to the responsibilities of this role.
A bachelor’s degree in Business Administration, Information Technology, or related fields is required, along with strong proficiency in English. Relevant certifications—such as in project management, risk assessment, or facility management—are also essential.
Training in health, access, and security involves ensuring comprehensive knowledge and adherence to protocols that safeguard individuals’ well-being, facilitate safe entry and exit procedures, and mitigate potential risks. This role requires a deep understanding of health and safety regulations, emergency response strategies, and controlled access measures to maintain a secure environment for all stakeholders. Professionals in this field must be adept at implementing preventive measures, conducting risk assessments, and responding promptly to incidents to uphold organizational safety standards and compliance with relevant policies.
