Job Description

Assist in executing the support function portfolio in alignment with the established action plan.

Assist in compiling and producing status reports to meet management’s specifications.

Develop and sustain an organized filing system for administrative documents, ensuring strict adherence to established procedures for accurate and efficient document management.

Collaborate with the IT Coordinator in Nairobi to manage computer-related services, maintenance tasks, and license renewals efficiently.

Responsibilities

These duties will be tailored to the unique characteristics of the job location, operational phase, strategic priorities, and the nature of the programmatic intervention.

Compile and submit payroll data for casual and incentive staff, ensuring accurate preparation and timely review.

Conduct and oversee the security and safety protocols for NRC assets within the Dadaab Refugee Complex (DMO), ensuring comprehensive protection measures are implemented. Collaborate closely with key partners, including Technical and Vocational Education and Training (VET), Accelerated Education Programs (AEP), and the Keighley Compound teams, to align security strategies and maintain operational integrity.

Serve as the organization’s representative in discussions pertaining to compound management, effectively communicating its perspectives and interests.

Oversee the scheduling and execution of cleaning and renovation projects for NRC compounds, including Care and Main facilities, as well as offices, while leading and directing casual staff members.

Procure, receive, log, allocate, and manage sufficient stock of office and accommodation assets and consumables to support operational needs.

Ensure staff and visitors are comfortably accommodated by managing check-in procedures and subsequently processing all necessary payments.

Ensure timely payment of utility invoices, including electricity and water bills, in coordination with the Finance and HR Officers.

Oversee the maintenance and updating of the asset register while ensuring that all NRC assets are registered in compliance with NRC asset management guidelines, Standard Operating Procedures, and donor regulations.

Maintain NRC assets in optimal condition and oversee maintenance activities as necessary.

Before distributing equipment to the requester, verify a complete and accurate handover by completing the Equipment Check-in/Check-out form.

Accurate completion of asset-related documentation is essential, including Equipment Check-In/Check-Out forms, Waybills, Donation Certificates, Asset Transfer Forms, and other relevant paperwork.

Perform quarterly physical inspections of company assets to verify their condition and ensure accurate inventory records.

Consistently provide staff with current health, safety, and security briefings, while verifying full compliance with established security policies and procedures.

Collaborate with UN agencies, non-governmental organizations, and other external stakeholders to obtain security-related information and analyses in the Dadaab region.

Ensure the availability and operational readiness of all health, safety, and security equipment at all times.

Responsible for securely managing and retaining office keys, ensuring their proper use and safekeeping at all times.

Perform other duties as delegated by the line manager as required.

Qualifications

Professional administrators or safety and security specialists who have worked in humanitarian or recovery settings will bring valuable experience to this role. Candidates should have a proven background in administrative functions or security oversight within such environments, ensuring they are well-prepared to contribute effectively.

Professional experience gained in challenging and rapidly changing environments is required.

Achieved measurable outcomes pertaining to the duties associated with this role.

A strong command of the English language is essential, along with a Bachelor’s degree in Business Administration and Information Technology, complemented by relevant professional certifications such as those in project management, risk assessment, or facility management.
