Thoroughly assess approved purchase requisitions to ensure all specifications, quantities, budget allocations, and timelines are accurate and complete, then delegate appropriate follow-up tasks to the Procurement Assistant.

Develop and execute the RFQ sourcing strategy by selecting suppliers, curating the invitation list, and establishing clear timelines, while ensuring all quotation comparisons are thorough and precise prior to approval.

Oversee the assessment and selection of suppliers by evaluating key factors such as pricing, quality standards, lead times, and compliance documentation, and provide final approval for recommendations prior to issuing the LPO.

Review and authorize Los in accordance with the established approval matrix, guaranteeing timely issuance and distribution to suppliers as well as internal stakeholders.

Responsibilities include managing follow-up on all outstanding LPO deliveries, identifying and escalating any delays or backorders, collaborating with suppliers to implement corrective measures, and ensuring internal stakeholders receive timely updates.

Verify that receiving confirmations are accurately and completely documented in collaboration with Stores and Users, including delivery notes, Goods Received Notes (GRNs), and service completion confirmations.

Oversee the resolution of procurement discrepancies, such as incorrect items, incomplete deliveries, damaged goods, and shipment delays, by facilitating replacements, processing credit notes, and holding suppliers accountable.

Ensure strict adherence to all procurement documentation protocols and filing requirements, including requisitions, requests for quotation (RFQ), supplier quotes, comparative analysis, approvals, local purchase orders (LPO), goods received notes (GRN)/delivery confirmations, invoices, as well as contracts and warranties.

Collaborate closely with the Finance/Accounts team to verify that supplier invoices align with the corresponding Local Purchase Orders (Los) and delivery documentation through rigorous 3-way matching procedures, thereby facilitating prompt and accurate payment processing.

Compile and present weekly status updates to management, covering open requisitions, outstanding Los, pending deliveries, escalations, and critical supplier-related concerns.

Develop, oversee, and administer departmental budgets and procurement strategies with precision and accountability.

Responsible for procuring and assessing suppliers to guarantee compliance with organizational criteria.

Leverage your expertise to finalize high-value contracts and framework agreements, thereby securing advantageous terms for the organization.

Ensure adherence to all statutory and regulatory procurement mandates.

To centralize and streamline procurement requirements across various departments, enabling the organization to maximize cost efficiencies through bulk purchasing and negotiated supplier agreements.

Perform comprehensive market research to detect emerging trends, monitor price variations, and evaluate potential alternative suppliers.

Revise procurement procedures and implement optimal methods to enhance operational efficiency.

Conduct a thorough evaluation and authorization of supplier prequalification procedures, guaranteeing that engagements are limited to pre-approved suppliers.

Track and evaluate procurement KPIs to assess departmental effectiveness.

Prepare and submit comprehensive reports to management on a regular basis, detailing procurement activities, savings achieved, and supplier performance metrics.

Minimum Qualifications include a bachelor’s degree in a relevant field such as Computer Science, Engineering, or a related discipline. Candidates must possess at least three years of professional experience in software development, system design, or a closely aligned technical role. Proficiency in programming languages like Python, Java, or C++ is essential, along with strong problem-solving abilities and analytical thinking. Familiarity with cloud platforms, DevOps practices, and software development methodologies (e.g., Agile or Scrum) is highly preferred. Excellent communication skills and the capacity to work collaboratively in a team environment are also required.

A bachelor’s degree in Procurement, Supply Chain Management, or a closely related discipline is required.

A prerequisite for this role is full registration with the Kenya Institute of Supplies Management (KISS).

Professional certifications, such as those offered by CAPS, would be considered advantageous.

Experienced professionals with a minimum of three to five years of advancing expertise in procurement and supply chain operations are sought, including at least two years demonstrating leadership in supervisory or coordination capacities.

Possesses a proven track record in negotiating with suppliers, overseeing contract administration, and executing strategic sourcing initiatives.
