POSITION SUMMARY

The Project Accountant is responsible for overseeing the financial and accounting aspects of projects, maintaining precise transaction processing, conducting account reconciliations, managing payroll, and ensuring adherence to statutory and donor mandates. Additionally, the position assists with financial reporting, procurement activities, audit preparations, and the administration of project finances in alignment with established organizational policies and procedures.

Oversee and execute comprehensive responsibilities encompassing strategic planning, operational management, and cross-functional collaboration to drive organizational objectives. Lead initiatives that enhance efficiency, optimize workflows, and ensure alignment with company goals while fostering a culture of accountability and innovation. Develop and implement policies, procedures, and performance metrics to monitor progress and maintain high standards of excellence. Collaborate with stakeholders at all levels to identify opportunities for improvement, mitigate risks, and deliver sustainable solutions that support long-term growth and profitability. Requires proven experience in leadership, analytical thinking, and problem-solving within a dynamic, fast-paced environment. Process financial transactions associated with office and project expenditures while ensuring the maintenance of an organized and efficient filing system for all financial records and project documentation.

Maintain precise documentation of financial transactions to track the fiscal health of project operations, guaranteeing that all accounting information remains current, reconciled, and thoroughly substantiated.

Review and validate payment requests to confirm their accuracy by reconciling the data with the financial management system.

Responsibilities include maintaining, overseeing, and documenting all financial transactions associated with payments, fund transfers, partner agreements, and project-related accounts—such as prepaid, payable, receivable, and payroll accounts—as well as accruals, in strict adherence to FADE’s established policies and procedures.

Responsible for the meticulous management of payment vouchers, accounting logbooks, and all associated supporting documentation to ensure accuracy and compliance with established financial protocols.

Verify the precision of accounting transactions and confirm the sufficiency of accompanying documentation.

Compile the monthly payroll data and produce corresponding payroll reports, including all relevant deductions.

Ensure timely and accurate submission of all statutory deductions, including NAIF, NSF, PAYE, HELD, and others, in strict adherence to regulatory requirements.

Conduct monthly bank reconciliations and ensure they are reviewed and approved by the 5th calendar day of each month.

Facilitate the project office’s procurement needs in alignment with established procurement policy guidelines, as well as AIDS and DRAG standards.

Support the Finance Officer in compiling and finalizing financial reports for all projects executed by Fondazione L’Albert Della Vita / The Tree of Life across Kenya.

Assist in maintaining and updating inventory records to ensure accuracy and completeness.

Provide support to the Finance Officer in drafting and finalizing agreements with vendors, collaborators, and external service providers.

Contribute to the execution of audit procedures by performing necessary tasks and assessments to ensure compliance and accuracy in financial reporting.

Candidates should possess a minimum of three years of relevant professional experience in a comparable role, along with a bachelor’s degree in a related field or equivalent practical training. Proficiency in industry-standard software and tools is essential, along with strong analytical and problem-solving abilities. Excellent communication skills, both written and verbal, are required to collaborate effectively with cross-functional teams. The ideal applicant will demonstrate a proven track record of delivering results within deadlines and adapting to evolving priorities in a fast-paced environment. Familiarity with project management methodologies and prior leadership experience are highly advantageous.

A recognized institution must award a Bachelor’s Degree in Commerce with a specialization in Accounting or Finance, Economics, or an advanced-level Certified Public Accountant (CPA) credential, or any other comparable and relevant qualification.

Demonstrated expertise in utilizing computer applications, with a particular emphasis on Microsoft Excel and accounting software, is required.

A minimum of three years of professional experience in finance or accounting is required.

Possesses a solid comprehension of financial and accounting policies, standards, and relevant regulatory requirements.

Proficiency in community development initiatives, projects supported by International Non-Governmental Organizations (NGOs), and/or those financed by the Italian Agency for Development Cooperation (AIDS) is considered a valuable asset.

Knowledge of PRAG is an added advantage

The selected candidate will receive a gross monthly salary between KES 60,000 and KES 70,000, commensurate with their qualifications and professional background. Comprehensive health insurance coverage will be extended to the successful applicant following the satisfactory conclusion of the three-month probationary period.
