POSITION SUMMARY

The Project Accountant plays a key role in overseeing the financial and accounting aspects of projects, with responsibilities including precise transaction processing, account reconciliations, payroll management, and adherence to statutory and donor-mandated requirements. This position contributes to financial reporting, procurement activities, audit preparations, and the administration of project budgets in alignment with established organizational policies and procedures.

Oversee the planning, development, and implementation of projects in alignment with organizational goals, ensuring adherence to established timelines and budgets. Collaborate with cross-functional teams to gather requirements, define scope, and allocate resources effectively. Monitor progress through regular evaluations, identifying potential risks and proactively implementing mitigation strategies. Facilitate communication among stakeholders to ensure transparency and alignment throughout the project lifecycle. Prepare detailed reports and documentation to track performance metrics and outcomes, providing actionable insights for continuous improvement.

Handle financial transactions concerning office and project expenditures, ensuring accurate recording and efficient processing. Organize and maintain a systematic filing system for all financial transactions and project-related documents to facilitate easy retrieval and compliance with record-keeping standards.

Accurate documentation of financial transactions is maintained to track the fiscal status of project activities, ensuring all accounting records are current, reconciled, and fully substantiated.

Review payment requests to verify that the data aligns accurately with the financial management system.

Maintain, oversee, and document all financial activities associated with payments, fund transfers, partners, and projects, including prepaid, payable, receivable, and payroll accounts, as well as accruals, strictly adhering to FADE’s established policies and procedures.

Ensure meticulous organization and upkeep of payment vouchers, accounting ledgers, and all associated supporting documentation.

Verify the precision of accounting entries and confirm the completeness of supporting documentation.

Compile the monthly payroll data and create comprehensive reports detailing payroll figures and related deductions.

Ensure adherence to statutory deduction submission requirements, including contributions to NAIF, NSF, PAYE, HELD, and other relevant obligations.

Prepare monthly bank reconciliations and ensure they are submitted for review and approval no later than the fifth calendar day of each month.

The project office’s procurement needs must be met in strict adherence to the established procurement policy guidelines as well as the AIDS and DRAG regulations.

Assist the Finance Officer in compiling and finalizing financial reports for all initiatives executed by Fondazione L’Albert Della Vita / The Tree of Life across Kenya.

Assist in maintaining and updating inventory records to ensure accuracy and completeness.

Provide support to the Finance Officer in drafting and finalizing agreements with vendors, collaborators, and service providers.

Contribute to the audit execution by performing assigned tasks, assessing financial records, and ensuring compliance with established standards and regulatory requirements.

Bachelor’s degree in Business Administration, Finance, Accounting, or a related field required; Master’s degree preferred. Minimum of five years of progressive experience in financial management, budgeting, financial reporting, or a comparable role. Proficiency in ERP systems, advanced Excel skills, and experience with financial software. Strong analytical, problem-solving, and communication abilities. Proven leadership experience managing teams or projects. Knowledge of regulatory compliance and internal controls. Ability to interpret financial data and present insights to stakeholders.

A recognized institution must award a Bachelor’s Degree in Commerce with a specialization in Accounting or Finance, Economics, or a Certified Public Accountant (CPA) credential at an advanced level, or an equivalent qualification.

Proficiency and expertise in computer applications, specifically Excel and accounting software, are required.

We require a minimum of three years of professional experience in finance or accounting.

Demonstrates a solid grasp of financial and accounting policies, standards, and relevant regulatory frameworks.

Proficiency in community development initiatives, projects supported by International Non-Governmental Organizations (NGOs), or those funded by the Italian Agency for Development Cooperation (AIDS) would be considered an asset.

The monthly salary, before deductions, spans between KES 60,000 and KES 70,000, with the final amount determined by the applicant’s qualifications and professional background.
