POSITION SUMMARY

The Project Accountant oversees the financial and accounting operations of projects, guaranteeing precise transaction processing, account reconciliations, payroll administration, and adherence to statutory and donor mandates. This position contributes to financial reporting, procurement activities, audits, and the stewardship of project finances in accordance with established organizational policies and guidelines.

Oversee and execute core duties related to the primary function of the role, ensuring alignment with organizational objectives and operational standards. Develop and implement strategic initiatives to enhance efficiency, productivity, and overall performance. Collaborate with cross-functional teams to foster innovation, streamline processes, and achieve key business targets. Monitor progress through regular performance evaluations, identifying areas for improvement and implementing corrective actions as needed. Maintain adherence to company policies, industry regulations, and ethical guidelines in all operational activities. Serve as a liaison between departments to facilitate seamless communication and coordination of efforts.

Responsible for managing financial transactions associated with office and project expenditures, as well as ensuring an organized and efficient filing system for all financial records and project-related documentation.

Ensure meticulous documentation of financial transactions to track the fiscal health of project initiatives, verifying that all accounting records are current, reconciled, and thoroughly substantiated.

Ensure that all payment requests are accurately reviewed to verify that the data aligns with the financial management system.

Maintain, oversee, and document all financial services pertaining to payments, fund transfers, partners, and projects, including prepaid, payable, receivable, and payroll accounts, as well as accruals, in strict adherence to FADE’s established policies and procedures.

Responsibilities include organizing and updating payment vouchers, maintaining accounting logbooks, and ensuring the accuracy of all supporting documentation.

Verify the correctness of accounting entries and confirm the sufficiency of supporting documentation.

Compile the monthly payroll and produce the associated payroll and payroll-related deductions reports.

Ensure that all statutory deductions, including NAIF, NSF, PAYE, and HELD, are submitted accurately and in compliance with regulatory requirements.

Prepare bank reconciliations monthly and ensure they are submitted for review and approval no later than the fifth day of each month.

To ensure alignment with the procurement policy guidelines and adherence to AIDS and DRAG standards, oversee and execute the project office’s procurement requirements efficiently.

Support the Finance Officer in compiling financial reports for all projects executed in Kenya by Fondazione L’Albert Della Vita / The Tree of Life.

Assist in the maintenance and updating of inventory records to ensure accuracy and completeness.

Collaborate with the Finance Officer to facilitate the drafting and execution of agreements with vendors, collaborators, and service providers.

Engage actively in the audit process to ensure thorough examination and verification of financial records, compliance with regulations, and identification of potential risks or discrepancies.

Seeking a candidate with a proven track record in [specific field] and at least [X years] of relevant professional experience. Minimum of three years of professional experience in finance or accounting is required.

Proficiency in community development initiatives, particularly those implemented by international non-governmental organizations (NGOs) or projects funded by the Italian Agency for Development Cooperation (AIDS), is highly desirable.

The monthly gross salary spans between KES 60,000 and KES 70,000, with the final amount determined by the candidate’s qualifications and professional background.
