About the role

The People & Admin Associate plays a pivotal role in maintaining the operational efficiency of the EIDU Kenya office while delivering essential administrative support to the People department. This position involves overseeing the seamless functioning of the Nairobi office, handling logistics, arranging travel, managing office supplies, and ensuring daily operations foster a productive workplace. Additionally, the role entails assisting with key HR administrative functions, such as coordinating onboarding and offboarding processes, administering employee benefits, maintaining HRIS records, and tracking contracts, among other responsibilities.

What you will do:

We are seeking a meticulous and organized professional to oversee and streamline our office operations. The ideal candidate will manage administrative duties with precision, including scheduling appointments, handling correspondence, and maintaining accurate records. Proficiency in office software, such as Microsoft Office Suite, and strong communication skills are essential. Additionally, the role requires the ability to coordinate meetings, prepare reports, and ensure efficient workflow within the team. Prior experience in an administrative role is preferred, along with a keen attention to detail and the capacity to multitask effectively in a fast-paced environment.

Oversee the daily operational management of the office, which includes procuring and managing supplies and equipment, optimizing office space utilization, and coordinating logistics to guarantee on-time delivery.

Provide assistance in organizing and facilitating office events as well as staff meetings.

Serve as a key intermediary connecting HR, Procurement, Operations, and Finance to streamline office-related processes and communications.

Serve as the primary liaison between visitors, external partners, and the office.

Maintain the seamless functioning of office operations on a daily basis.

HR Operations Support professionals play a pivotal role in ensuring the smooth functioning of human resources processes by providing essential administrative, technical, and operational assistance. They are responsible for managing employee records, processing payroll, coordinating benefits enrollment, and addressing HR-related inquiries to maintain compliance with company policies and labor regulations. Additionally, they assist in recruitment efforts, onboarding new hires, and generating reports to support data-driven decision-making. Strong organizational skills, attention to detail, and proficiency in HR information systems are critical, along with the ability to maintain strict confidentiality and handle sensitive information with discretion. Effective communication and problem-solving abilities are also essential to collaborate with cross-functional teams and enhance overall HR efficiency.

Assist in onboarding and offboarding processes, including documentation, system setup, and coordination with supervisors.

Handle contract renewal responsibilities, such as monitoring deadlines, drafting necessary documentation, and conducting follow-up actions.

Provide support in benefits administration, including medical insurance, Work Injury Benefits Act (FIBA), pension plans, and Higher Education Loans Board (HELD), while maintaining precise and up-to-date records.

Maintain accurate and up-to-date HR records within the HRIS system, specifically Personio, while ensuring strict adherence to all statutory and regulatory requirements.

Provide assistance with payroll documentation and collaborate with HR to monitor performance metrics.

Perform follow-up actions and coordinate tasks as necessary.

Ensure all office and HR-related tasks are completed promptly by monitoring progress and following up as necessary.

Facilitate ongoing dialogue with employees, supervisors, and external partners to ensure seamless office and HR operations.

Provides comprehensive administrative assistance across various departments to ensure efficient office operations. Handles routine clerical tasks such as filing, data entry, and document preparation with meticulous attention to detail. Manages correspondence, schedules appointments, and coordinates meetings for senior staff members. Maintains organized filing systems, both physical and digital, to facilitate quick retrieval of essential records. Assists with payroll processing, expense reporting, and other financial documentation as needed. Demonstrates strong organizational skills, proficiency in office software, and the ability to multitask in a fast-paced environment. Requires excellent communication, problem-solving capabilities, and a proactive approach to supporting team objectives.

Prepare and organize documents, maintain organized filing systems, and generate necessary reports as required.

Collaborate with HR to implement operational projects and drive process enhancements.

What you should bring:

A minimum of a bachelor’s degree in Human Resources, Business Administration, or a closely related discipline is required.

Seeking candidates with at least three to five years of hands-on experience in office administration or human resources administration.
