Role Outline

To optimize the performance of Merck clients, we will oversee daily, weekly, and monthly activities while executing planned initiatives to fulfill customer requirements and achieve agreed-upon KPIs, reinforcing our position as the ‘”provider of choice” for clients. This role involves leading, motivating, and developing the workforce—”making DHL a great place to work”—while ensuring the operation runs safely and efficiently within established guidelines to deliver defined outcomes for both the site and customers.

Key responsibilities for this position encompass a wide range of critical tasks and obligations. The successful candidate will be expected to manage and oversee various operational functions, ensuring adherence to established protocols and standards. Additionally, they will collaborate with cross-functional teams to drive project execution and achieve organizational objectives. The role demands a high level of attention to detail, strong problem-solving skills, and the ability to prioritize tasks effectively in a fast-paced environment. Conduct initiatives to mitigate or eliminate potential health and safety hazards.

The team must consistently implement and adhere to established Safety Standards and applicable guidelines to ensure compliance and operational safety.

Develop and execute a Behavioral Based Safety (BBS) program on a daily basis to ensure adherence to defined behaviors and processes.

Record and analyze workplace incidents, then take appropriate action to address or elevate any breaches of safety regulations and established protocols.

Implement structured processes to maintain adherence with applicable regulatory standards and local legal requirements. Ensure prompt reporting of any potential risks, near misses, breakdowns, and accidents to your direct supervisors without delay.

Convey all pertinent DPDHL policies to frontline staff and systematically assess adherence to these policies on an ongoing basis.

To safeguard the designated site premises, enforce necessary security protocols that ensure the protection of personnel, DSC assets, and customer products within the specified area.

Comply with the DSC 6 Steps security framework diligently.

Conduct comprehensive assessments of pertinent security risks and execute approved mitigation measures, consulting with your direct supervisor to secure consensus on proposed solutions when required.

Implement and oversee the consistent execution of current processes, work instructions, standard operating procedures, and corresponding forms to ensure achievement of defined outputs.

Consistently enhance operational procedures to optimize the delivery of established objectives.

Consistently revise the operational training matrix or plan to align with evolving requirements and organizational needs.

Implement the Corrective and Preventive Action (CAPA) process, focusing specifically on critical nonconformities, ensuring identified actions are executed to eliminate recurrence and mitigate the cost of non-quality.

Collaborate with vendors to align with operational needs, evaluate their performance, and, when required, recommend enhancements to the line manager before executing the agreed-upon improvement measures.

Ensure all customer requirements are met in accordance with DPDHL’s established policies.

Engage in customer, regulatory, and internal operational audits as needed, collaborating with the team to execute the agreed-upon action plan.

Respond to or escalate customer issues in accordance with established protocols while proposing viable solutions to address concerns.

Management assists in implementing ongoing enhancement initiatives to drive operational excellence and foster a culture of continuous improvement.

Propose enhancements to local workflows or team processes to your direct supervisor to drive ongoing operational improvements.

Assist management in the planning and administration of resources by establishing and executing agreed processes to evaluate performance, track absences and sickness, and resolve issues in adherence to established guidelines.

Process forecasted volumes using the RPM system, reconcile these projections with the resource plan, and address escalated issues in accordance with established guidelines to ensure sufficient resources are allocated to support the planned volume.

Proactively assess and document training and qualification discrepancies, elevating them to the appropriate stakeholders as needed. Additionally, deliver structured induction sessions and specialized technical training programs to enhance the team’s competencies and ensure alignment with operational standards.

Attends routine operational evaluations and delivers consistent colleague updates through the utilization of Performance Dialogue boards and scheduled briefings.

Relays operational goals with precision and clarity, ensuring alignment across teams. Facilitates transparent communication of objectives to foster collaboration and accountability.

Daily, you will oversee team operations by delegating assignments, tracking progress, and providing assistance to ensure optimal performance in alignment with management directives.

To establish robust feedback mechanisms for employees, initiatives such as Performance Dialogue boards, daily briefing sessions, and the Entrepreneurial Operating System (EOS) will be implemented, fostering an environment where staff can actively engage in site enhancements and growth.

Oversee infrastructure utilization and conduct inspections to maintain compliance with established standards.

Monitor budget allocations and track monthly expenditures within your designated area of responsibility.

Additionally, you will assist with the facilitation of recruitment initiatives, performance evaluations, and disciplinary or exit procedures, offering strategic recommendations throughout each process.

Perform performance reviews and provide coaching to all direct reports, subsequently submitting performance ratings to management for consideration.

Develops and executes site plans autonomously within the designated operational scope, ensuring alignment with established guidelines and strategic objectives.

Monitor performance metrics for staff, operational equipment, and workflow processes, identifying opportunities for managerial enhancements.

Develops and executes prompt reporting mechanisms alongside corrective measures to address performance deficiencies.

Delivers detailed insights on operational outcomes, ensuring clarity and accuracy in reporting.

Develop and execute the Site Development Plan by carrying out all identified actions for the designated area as outlined in the plan.

Engage actively in the Management Review Process to ensure thorough oversight and continuous improvement.

Implement the First-Choice tools while actively participating in continuous improvement initiatives and resolving issues as instructed. Take ownership of assigned tasks, ensuring timely delivery within the specified completion timeframe.

Engage in an annual assessment conducted via the First-Choice evaluation platform.

Drive initiatives aligned with environmental objectives and foster ongoing enhancements to boost operational eco-efficiency.

Engage employees through consistent communication to foster environmental enhancements and support First Choice initiatives, as well as other defined continuous improvement efforts.

Implement, lead, and mentor Coordinators in executing Gemma Walks and Performance Dialogues to uncover opportunities for enhancement. Address or elevate issues and opportunities in adherence with established guidelines. Execute approved modifications and revise standard operating procedures and training materials accordingly.

About you

Degree required in Business Management, Supply Chain Management, or Purchasing and Supply Management.

With a minimum of five years of professional experience in logistics, the ideal candidate will possess a strong understanding of supply chain operations, inventory management, and transportation coordination. Responsibilities include overseeing the movement of goods, optimizing logistics processes, and ensuring timely delivery while adhering to cost efficiency and regulatory standards. The role requires proficiency in logistics software, strong analytical skills, and the ability to collaborate with cross-functional teams to resolve supply chain challenges.

Overseeing financial operations and budget administration for a duration of one year.

Proficient use of Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook, is required.
