The primary objective of this position is to perform a range of specialized duties and contribute to key organizational goals. Responsibilities include managing day-to-day operations, ensuring compliance with company policies, and collaborating with cross-functional teams to drive project success. The role demands strong analytical skills, attention to detail, and the ability to multitask effectively in a fast-paced environment. Additionally, it requires prior experience in a similar capacity, proficiency with relevant software tools, and exceptional communication abilities to liaise with stakeholders at all levels.

Responsibilities include stocking, overseeing, and distributing consignment items across various categories such as medical, surgical, pharmaceutical, pathology, radiology, food and beverage, engineering, capital expenditure (CAPEX), as well as general stores inventory and non-inventory items utilized by hospital-wide departments, outreach programs, and University Centre users. Ensuring precise reporting of inventory levels within designated areas of responsibility is also a key function.

Oversee and manage daily operations to ensure alignment with organizational objectives, fostering efficiency and productivity across all relevant functions. Coordinate team efforts to deliver high-quality results while maintaining adherence to established policies, procedures, and industry standards. Develop and implement strategic initiatives to optimize workflows, enhance performance metrics, and drive continuous improvement within the department or project scope. Monitor progress through regular assessments, providing constructive feedback and actionable insights to support team development and accountability. Collaborate with cross-functional teams to align resources, address challenges, and achieve collective goals in a timely and cost-effective manner. Ensure compliance with legal, regulatory, and ethical requirements while promoting a culture of transparency and accountability.

Responsible for overseeing the designated warehouse and/or Sub Store operations, ensuring efficient management of inventory, staff, and daily workflows. This role involves maintaining accurate records, coordinating logistics, and upholding safety and compliance standards. Additionally, the position requires monitoring performance metrics, addressing operational challenges, and collaborating with cross-functional teams to optimize productivity and meet organizational objectives.

Handle incoming inquiries from end-users regarding the procurement of service materials.

Ensures the precise and prompt distribution of items.

Ensure transactions are posted, updated, and items issued accurately, promptly, and in full compliance with established procedures.

Items must be organized, stored, and arranged in a manner that ensures clear identification and traceability.

Monitor inventory levels proactively to prevent stock outs by alerting the purchaser in advance when supplies are dwindling.

Suggest optimal replenishment quantities for items to ensure adequate stock levels at all times.

Responsibilities include accepting inventory deliveries from suppliers in accordance with Purchase Orders, and conducting thorough inspections to confirm both the quantity and quality of received items.

Accurate and timely receipt and validation of invoices, followed by prompt forwarding to the Finance department for processing.

Efficiently support efforts to uphold the prescribed minimum stock days through proactive monitoring and coordination.

Ensure the integrity and standards of all received goods from vendors, warehouses, and sub-stores are maintained.

Conduct follow-up actions to address issues that end users have not acknowledged or resolved.

Ensure stock movement is executed in strict accordance with the FEFO (First-Expired, First-Out) method.

Oversee a minimum threshold of expirations and obsolescence of inventory items to ensure optimal stock levels and mitigate potential losses.

Participate in quarterly inventory counts to ensure accurate stock levels and maintain comprehensive records.

Ensure the daily submission of the checklist and the timely monthly submission of bulk SPR for inventory replenishment, slow-moving inventory, approved disposal forms, and QVR reports.

Additional responsibilities may be assigned by the PSCMD Supervisor, Assistant Managers, Managers, and PSCMD leadership, including providing support to the Purchase Assistant role and its functions.

A diploma or certification relevant to the business field is required.

Professional qualifications such as membership in the Chartered Institute of Purchasing & Supply (CAPS), the Chartered Institute of Logistics (CULT), or the Kenya Institute of Supplies Management (KISS) would be advantageous.

With a minimum of two years of professional experience in a comparable field or work setting, candidates should demonstrate proficiency gained through practical engagement.

Demonstrated expertise in utilizing Microsoft Office applications, particularly Microsoft Excel and Microsoft Word, is required.

Proven capacity for effective team collaboration, coupled with a strong drive to take initiative and function proactively in dynamic environments.

Proven ability to deliver exceptional customer service alongside strong interpersonal and communication skills.

Capable of lifting heavy boxes, as well as climbing and bending as needed.

Possesses a solid understanding of warehousing and stocking procedures and practices.
