This role is designed to fulfill the core objectives of the position by ensuring the successful execution of key responsibilities aligned with organizational goals. The candidate will be responsible for driving impactful outcomes while collaborating with cross-functional teams to achieve shared objectives. Responsibilities include overseeing the receipt, organization, and distribution of consignment items across medical-surgical, pharmaceutical, pathology, radiology, food and beverage, engineering, capital expenditure (CAPEX), and general stores inventories, as well as non-inventory supplies for hospital-wide operations, outreach programs, and University Centre users. Additionally, the role requires maintaining precise inventory records and providing accurate reporting for all assigned areas of responsibility.

Oversee a comprehensive range of duties encompassing project execution, stakeholder engagement, and resource allocation to ensure alignment with organizational objectives. Collaborate with cross-functional teams to develop and implement strategic initiatives that enhance operational efficiency and drive measurable outcomes. Monitor progress through established performance metrics, promptly addressing deviations to maintain project timelines and budgetary constraints. Foster a culture of accountability and continuous improvement by providing mentorship to team members and championing best practices across departments.

Responsible for overseeing the designated warehouse and/or Sub Store operations, ensuring efficient management of inventory, order fulfillment, and logistical processes to meet operational targets and maintain high standards of productivity and accuracy.

Handle and process service material requests submitted by end-users.

Accurately and promptly process the issuance of all items to maintain efficiency and compliance with established protocols.

Accurately and promptly post and update transactions in the system while ensuring the timely and correct issuance of items.

Items must be organized, stored, and maintained in a manner that ensures clear identification and full traceability at all times.

Proactively monitor inventory levels to anticipate stock shortages and promptly notify the purchaser before items reach critically low levels.

Suggests the most suitable quantities of items for restocking.

Inventory is received from suppliers in accordance with Purchase Orders, with meticulous verification of both quantity and quality completed upon arrival.

Promptly receive and verify invoices with precision, ensuring accuracy and adherence to deadlines, before forwarding them to Finance for processing.

Help ensure optimal inventory levels by supporting efforts to maintain the minimum number of stock days required for operations.

Ensure the quality of all incoming goods from vendors, warehouses, and sub-stores is thoroughly inspected and verified.

Investigate and resolve outstanding issues where end users have not formally accepted the solutions provided.

Ensure stock movement strictly follows the First-Expired, First-Out (FEFO) method.

Oversee a portfolio of expiry and obsolescence items to ensure their value remains at or above a set minimum threshold.

Participate in quarterly inventory counts to ensure accurate stock levels and maintain inventory records.

Ensure the timely submission of daily checklists as well as monthly bulk SPR reports for inventory replenishment, slow-moving inventory, approved disposal forms, and QVR reports.

Additional responsibilities may be assigned by the PSCMD Supervisor, Assistant Managers, Managers, and PSCMD leadership, potentially including support for the role and function of a Purchase Assistant.

Seeking a candidate with a strong background in relevant experience, proven qualifications, and a diverse set of skills to fulfill the role effectively. The ideal applicant will possess the necessary expertise, hands-on experience, and technical proficiencies required to excel in the position. Additionally, familiarity with industry-specific tools, methodologies, or frameworks is essential, along with the ability to apply knowledge practically in a professional setting. Strong communication, problem-solving capabilities, and adaptability are also highly valued traits for this opportunity.

A relevant diploma or certification in a business-related field is required.

Membership in the Chartered Institute of Purchasing & Supply (CAPS), the Chartered Institute of Logistics (CULT), or the Kenya Institute of Supplies Management (KISS) would be considered an advantageous asset.

A minimum of two years of relevant professional experience within a comparable field or work environment is required.

Demonstrated expertise in utilizing Microsoft Office Suite, with a particular emphasis on Microsoft Excel and Microsoft Word.

Demonstrates strong teamwork skills, takes initiative, and approaches tasks with a proactive mindset.

Excellent customer service abilities along with strong interpersonal and communication proficiencies are essential.

Capable of handling substantial weight, including lifting heavy boxes, as well as performing tasks that require climbing and bending.

Proficient in warehouse management and inventory stocking procedures is required.
