RESPONSIBILTIES
Process Import Declaration Forms (IDF) and ensure their accurate tracking and timely dispatch to suppliers, while also obtaining Certificates of Conformity along with KEYS PVC exemptions where applicable.
Secure comprehensive marine insurance coverage for incoming shipments to mitigate risks associated with transit.
Upon receipt of customs entry documentation for KEYS consignment items, facilitate the processing of said consignment documents in accordance with established customs protocols.
Source and obtain quotations and pro forma invoices from suppliers to facilitate accurate cost assessment and procurement planning.
Prepare and issue system Purchase Orders (POs) while ensuring accurate and organized maintenance of all associated documentation.
Track supplier shipping schedules from the point of production through to the point of dispatch.
Ensure that all shipping documentation aligns precisely with the details specified in the original purchase order.
Compile and review freight quotations, then obtain necessary approvals to ensure compliance and accuracy.
Prepare and submit comprehensive documentation to customs agents to facilitate expedited clearance processes.
Audit customs entries to ensure the accurate assessment of taxes, duties, and levies. Prepare and oversee the documentation required for outward export sales. Organize and update individual import files and registers as needed.
Before forwarding third-party logistics invoices to the Accounts department, conduct a thorough review to confirm accuracy. Liaise with clearing agents to maintain prompt and precise invoicing processes.
Send periodic logistics updates to Directors, Production, and Stores teams. Process and track cargo claims related to damage or shortages, ensuring timely follow-up. Additionally, execute other operational tasks as assigned by management.
We seek a candidate with a minimum of two years of experience in a related field, demonstrating proficiency in relevant software systems and strong analytical skills. The ideal applicant must hold a bachelor’s degree in a pertinent discipline and possess excellent communication abilities to collaborate effectively across teams. Familiarity with industry regulations and standards is essential, along with the capacity to manage multiple priorities in a fast-paced environment. Previous experience in project coordination or leadership roles is highly desirable, and the ability to analyze complex data to drive informed decision-making is required.
Diploma in Purchasing & Supply Management, Clearing and Forwarding, or a comparable discipline.
A minimum of six years of professional experience in shipping, logistics, or customs clearance is required, with a preference for candidates with a background in manufacturing.
Experienced in navigating both local and international import/export regulations as well as customs protocols.
Demonstrates unwavering integrity and complete transparency when managing highly sensitive regulatory documentation.
Demonstrates meticulous attention to detail when reviewing trade documents and verifying tax calculations. Exhibits the capacity to operate efficiently with minimal oversight while maintaining high standards of accuracy.
Proven ability to manage multiple tasks efficiently while maintaining clear and effective communication with colleagues and stakeholders, coupled with strong interpersonal skills to foster collaborative relationships.
