RESPONSIBILTIES

Process, track, and forward Import Declaration Forms (IDF) to relevant suppliers while ensuring the acquisition of Certificates of Conformity and KEYS PVC exemptions.

Secure comprehensive marine insurance coverage for incoming shipments to mitigate potential risks during transit.

Upon customs arrival, handle KEYS Consignment Documents for processing.

Responsibilities include sourcing and obtaining quotations as well as pro forma invoices from various suppliers.

Prepare and process system Purchase Orders (POs) while ensuring accurate and organized record-keeping of all related documentation.

Oversee the progression of supplier shipping schedules, ensuring smooth transitions from production through to dispatch.

Confirm that the shipping documentation aligns precisely with the details outlined in the original purchase order.

Gather, evaluate, and obtain necessary approvals for freight quotations.

Prepare and submit comprehensive documentation to designated clearing agents to expedite the customs clearance process.

Audit customs entries to ensure the accuracy of taxes, duties, and levies. Organize and oversee documentation for export sales transactions. Keep individual import records and registers current and well-maintained.

Before forwarding third-party logistics invoices to the Accounts department, conduct a thorough review to confirm accuracy and completeness. Collaborate closely with clearing agents to facilitate prompt and precise invoicing.

Prepare and distribute routine logistics updates to Directors, Production, and Stores. Manage the filing and follow-up process for cargo claims related to damage or shortages. Fulfill additional operational tasks as directed by management.

Candidates must fulfill specific criteria to qualify for the position. A bachelor’s degree in a related field or equivalent professional experience is essential. Proficiency in relevant software and tools is required, along with strong analytical and problem-solving abilities. Excellent communication and interpersonal skills are necessary to collaborate effectively within the team. Prior experience in a similar role is preferred but not mandatory. The ability to manage multiple priorities while meeting deadlines is crucial. Familiarity with industry standards and best practices is advantageous.

A diploma in Purchasing & Supplies Management, Clearing and Forwarding, or a comparable discipline is required.

A minimum of six years of hands-on experience in shipping, logistics, or customs clearance is required, with a preference for candidates with a background in manufacturing.

Demonstrates comprehensive knowledge of both domestic and global import/export laws as well as customs procedures.

Demonstrates unwavering integrity and complete transparency in managing and processing high-value regulatory documentation.

Demonstrates meticulous attention to detail when reviewing trade documents and verifying tax calculations. Exhibits the capacity to maintain high productivity levels while operating with limited oversight.

Demonstrates exceptional ability to manage multiple tasks simultaneously while maintaining clear and effective communication. Exhibits strong interpersonal skills to foster collaborative relationships and ensure seamless interaction with colleagues and stakeholders.
