The HR Associate collaborates closely with the HR team at I-Hub to facilitate a seamless onboarding experience for new hires, serving as a key point of contact from the pre-employment stage through full integration into the organization. Working in tandem with Recruiting Associates, HR Partners, HR Focal Points, and hiring managers, the role ensures candidates receive clear guidance and support throughout the entire recruitment and onboarding journey.

This position will deliver assignments and tasks by establishing target deadlines, handling data entry duties, and maintaining the accuracy and currency of forms, documents, and processes.

The Onboarding team serves as the primary liaison for new hires following their offer acceptance, and the Onboarding Associate must prioritize exceptional customer service to streamline the process while ensuring full compliance with local labor regulations.

Oversees the implementation of critical initiatives and ensures adherence to established protocols, driving operational excellence and strategic objectives forward. Manages cross-functional teams to streamline processes, enhance productivity, and foster collaboration across departments. Develops and monitors key performance indicators to evaluate progress, identify areas for improvement, and implement corrective actions as needed. Collaborates with senior leadership to align projects with organizational goals, ensuring resource allocation meets both immediate and long-term priorities. Maintains compliance with industry regulations and internal policies, mitigating risks while upholding the highest standards of integrity and accountability.

Handles the complete onboarding and offboarding processes for new and departing employees, ensuring all necessary documentation, system access, and compliance requirements are met. Direct the complete onboarding process, overseeing pre-arrival communications, scheduling and managing orientation sessions, collecting required documentation, and implementing system setup and integration.

The role involves overseeing onboarding tasks, such as facilitating new hire communications, collecting and managing data, ensuring compliance acknowledgments are completed, and conducting orientations.

Ensuring a seamless and well-organized experience through Workday, Cornerstone, and Teams platforms.

Prepare onboarding materials, introduce new employees to their teams, and verify that all new hires are fully equipped—both technically and administratively—before their first day.

Lead structured exit processes, encompassing terminal dues processing and final clearance, while ensuring full compliance with Kenya’s labor laws.

Emailing new employees with comprehensive details about the organization, such as parking arrangements and work schedules, ensures they are fully prepared for their first day.

Providing new employees with essential technical support to configure their hardware and software systems effectively.

Responsible for compiling and organizing all documentation pertinent to new employee onboarding, such as employment contracts and personal data records.

Assist in facilitating recruitment initiatives in collaboration with Recruiting Associates and designated hiring managers.

Ensure comprehensive management and upkeep of all onboarding, pre-employment documentation, forms, and HRIS updates.

Responsibilities include managing the complete employee lifecycle, encompassing recruitment, onboarding, performance evaluations, contract administration, and offboarding processes.

Handle employee benefits administration, ensuring accurate and timely processing of enrollments, changes, and terminations. Maintain up-to-date records in HRIS and provide guidance to staff on benefits options, eligibility, and enrollment procedures. Collaborate with benefits providers to resolve issues and verify compliance with federal and state regulations. Prepare and distribute benefits communications, including open enrollment materials and summary plan descriptions. Assist with audits and reporting as needed to support compliance and strategic planning initiatives.

Responsible for collecting and organizing all documentation associated with employee benefits programs, such as medical insurance, group life coverage, GPA benefits, pension plans, and wellness initiatives.

Ensure staff members are promptly enrolled in or removed from benefit programs, guaranteeing coverage remains in accordance with organizational policies and contractual agreements.

You will collaborate closely with insurance providers to manage claims processing, policy renewals, updates to existing policies, and the facilitation of onboarding sessions.

Collect and analyze utilization and cost data to facilitate benefits budgeting and support renewal negotiations.

New employees receive thorough orientation regarding benefit packages, while providing assistance to staff with inquiries and navigating claims procedures.

Oversee the complete benefits renewal process by coordinating with insurance providers in alignment with the agreed-upon contract durations.

Verify that all employee benefits are administered in full compliance with relevant regulations and alignment standards.

Manages and oversees the administration of employee leave policies, ensuring compliance with company and regulatory standards. Tracks, approves, and documents all types of leave, including vacation, sick, and personal time, while maintaining accurate records and confidentiality. Collaborates with HR and department heads to address leave-related inquiries and resolve conflicts or disputes. Analyzes leave trends to identify patterns, reduce absenteeism, and support workforce planning initiatives. Implements and updates leave policies as needed to align with evolving business needs and legal requirements. Provides guidance and training to managers and employees on leave policies and procedures.

Responsible for comprehensive oversight of the entire leave management process, encompassing tracking, reconciliation, reporting, and system maintenance.

Deliver comprehensive direction to employees regarding various leave categories, including annual, sick, parental, and compassionate, while maintaining strict adherence to established policies and relevant labor regulations.

Audit and reconcile leave balances within the Workday system, initiating corrections or manual adjustments where necessary to ensure accuracy.

Collaborate seamlessly with the payroll department to ensure alignment between leave balances and salary computations, as well as final settlements.

Analyze workforce planning by developing comprehensive leave utilization reports and interactive dashboards.

Investigate and reconcile inconsistencies while assisting staff in clarifying their leave entitlements to ensure accurate and consistent application of policies.

Overseeing additional duties as assigned, ensuring operational efficiency and adherence to established protocols, constitutes a fundamental aspect of this role. Handling supplementary tasks beyond the core responsibilities, while maintaining high standards of accuracy and timeliness, will be expected. Facilitating seamless workflows and contributing to team objectives through these ancillary functions will be integral to success in this position.

Exit interviews are coordinated with departing employees to gather insights into their reasons for leaving and ensure the HR Lead is promptly informed.

Ensuring the accuracy of data and the timely updating of systems for all HUB personnel are meticulously managed and recorded within the HRIS platform.

Manage and maintain staff contracts, personnel files, and other essential employee records to ensure accuracy and compliance.

Oversee the administration and organization of all human resource documentation while implementing and sustaining a structured filing and retrieval system to preserve both historical and active records.

Develop comprehensive reports and presentations that analyze and summarize key HR metrics, including department-wide hiring statistics and Diversity, Equity, and Inclusion (DEI) data.

HRIS (Workday) administration and meticulous data management form the core responsibilities of this role. Efficiently maintaining and configuring the Workday system to align with organizational processes and policies is essential. Additionally, ensuring data integrity, accuracy, and security across all HRIS records remains a top priority. Responsibilities include generating reports, troubleshooting system issues, and collaborating with cross-functional teams to optimize HRIS functionality and support data-driven decision-making.

We seek a candidate with a minimum of three years of relevant professional experience, preferably in a similar role or industry.
