About the Role

The Director of Human Resources and Business Administration will oversee a comprehensive range of HR functions, such as recruiting and onboarding new employees, administering benefits and payroll, fostering professional development, ensuring compliance with HR policies, and managing business administration tasks including finance, budgeting, and procurement. Additionally, the Director will prioritize employee well-being and cultivate a collaborative, high-performing team environment to advance Kenya Connect’s mission.

Oversee and execute a comprehensive range of duties, ensuring all operational objectives are met with precision and efficiency. Responsibilities include managing daily workflows, coordinating team efforts, and maintaining high standards of performance across all assigned tasks. Additionally, monitor progress, address challenges proactively, and implement solutions to optimize productivity and workflow continuity. Collaborate with stakeholders to align efforts with organizational goals, while ensuring adherence to policies, procedures, and quality benchmarks.

The Human Resources team is responsible for overseeing employee recruitment, onboarding, and retention strategies, ensuring compliance with labor laws and company policies. They manage benefits administration, payroll processing, and performance evaluations while fostering a positive work environment. Additionally, they handle employee relations, conflict resolution, and training initiatives to support professional development. Strong interpersonal skills, organizational proficiency, and a deep understanding of HR best practices are essential for success in this role.

Oversee attendance tracking, encompassing staff arrival and departure times, as well as leave and sick day records.

Oversee the processing of applications for both job openings and internship opportunities in collaboration with the Senior Leadership team.

Responsible for managing the recruitment process and facilitating the onboarding of new employees and interns, ensuring a seamless integration into the team.

In partnership with the senior programs director and coordinators, we will establish critical performance targets and operational strategies to ensure alignment with organizational goals.

Conduct semi-annual and annual performance evaluations for staff in collaboration with supervisors.

Maintain current and precise job descriptions for all employees to reflect their roles and responsibilities accurately.

Oversee the administration and evaluation of staff healthcare plans and insurance programs.

Collaborate with colleagues to develop and execute staff enrichment initiatives, team-building exercises, and engaging recreational programs.

In collaboration with the Executive Director, the role involves administering salaries by preparing offers, conducting reviews, and ensuring alignment with established compensation guidelines and salary structures.

Ensure strict adherence to the Data Protection of Personal Information Act (No. 24 of 2019) by securely managing and safeguarding employee records, thereby maintaining full confidentiality and compliance with regulatory standards.

The incumbent will support the Executive Director in maintaining the organization’s adherence to all HR statutory reporting obligations and labor law requirements.

Provide strategic guidance to management regarding the legal and other pertinent ramifications associated with HR-related decisions.

Help supervisors determine staff training requirements and select appropriate trainers or training institutions.

All employees must comply with established health and safety protocols to maintain a secure and compliant work environment.

Ensure seamless coordination of vehicle schedules to effectively support program operations.

To ensure vehicles and other motorized equipment are serviced promptly and cost-effectively, the role involves overseeing their maintenance and upkeep.

Oversee the administration and renewal of service agreements and contracts to ensure ongoing compliance and alignment with organizational objectives.

To safeguard the organization’s assets and personnel, implement and continuously refine robust security protocols and procedures.

Oversee the maintenance and organization of both paper-based and electronic personnel files to ensure accuracy, confidentiality, and compliance with relevant regulations.

Collaborate with the Leadership Team to address and resolve workplace conflicts effectively.

Assists in compiling and organizing HR and finance reports required by the Kenya NGO Board and the US Non-Profit, ensuring accuracy and adherence to regulatory standards.

Ensure adherence to all applicable data protection laws and ethical guidelines governing data collection practices.

The role encompasses a wide range of administrative functions essential to maintaining efficient business operations. Responsibilities include managing correspondence, coordinating meetings, preparing reports, maintaining records, and ensuring compliance with company policies. The position requires strong organizational skills, meticulous attention to detail, and the ability to handle multiple tasks simultaneously in a fast-paced environment. Deliver financial information to facilitate resource mobilization initiatives and donor reporting processes.

To optimize the utilization of all organizational resources, thereby maintaining cost efficiency.

Develop and uphold robust internal controls to ensure the accurate tracking and management of equipment inventory.

Develop and manage the budgeting process to ensure financial accuracy and alignment with organizational goals.

Conduct a comprehensive review of payroll reports alongside the accountant, and provide final authorization for all wage and salary disbursements within the organization.

Kenya Connect relies on this role to strategically manage the acquisition of goods and materials, guaranteeing cost-effectiveness, equitable pricing, and strict adherence to established procurement protocols.

Oversee the Accountant’s work and authorize payments in collaboration with the Executive Director.

Ensure strict adherence to internal policies, statutory regulations, and donor-specified requirements governing administrative and financial management practices.

– Education and Experience Requirements:
– Bachelor’s degree in a relevant field (e.g., Computer Science, Engineering, or Business) from an accredited institution, or equivalent work experience.
– Minimum of 5 years of professional experience in [specific industry/function, e.g., software development, project management, or data analysis].

Seeking a Human Resources professional with a minimum of five years of hands-on experience, ideally within an international or local non-governmental organization, and a strong understanding of HR best practices, industry standards, staff medical insurance protocols, and Kenyan employment regulations.

A Chartered Member of the Institute of Human Resource Management (HRM), possessing an active and valid professional license to practice.

A CPA designation at the level of III or higher will be viewed favorably during the selection process.
