Job Purpose
The HR/Admin Intern collaborates closely with the HR/Admin Manager and receives daily direction from the HR/Admin Assistant, assisting with essential HR and administrative duties while acquiring hands-on experience in human resources and office operations.
The intern assists with recruitment initiatives, maintains organized filing systems, prepares and processes documentation, and ensures smooth office coordination.
Oversee a range of critical responsibilities encompassing project management, stakeholder coordination, and team leadership, ensuring alignment with organizational objectives and delivery of high-quality outcomes. Develop and execute strategic plans to optimize processes, allocate resources efficiently, and mitigate potential risks while maintaining strict adherence to deadlines and budget constraints. Foster a collaborative work environment that encourages innovation, accountability, and continuous improvement across all initiatives. Regularly evaluate performance metrics, identify areas for enhancement, and implement data-driven solutions to drive operational excellence and sustainable growth.
Provides comprehensive human resources assistance to ensure efficient operations within the organization. Handles employee inquiries, maintains confidential records, and assists with recruitment processes, including job postings and candidate screening. Manage benefits administration, processes payroll, and ensures compliance with labor laws and company policies. Conducts orientation sessions for new hires and organizes training programs as needed. Collaborates with management to address employee relations issues and fosters a positive workplace culture. Requires proficiency in HR software, strong interpersonal skills, and a minimum of two years of relevant experience in an HR role.
Support recruitment initiatives, facilitate interview procedures, and coordinate staff onboarding activities.
Ensure staff personnel files are maintained in full compliance with ACTED policies, with all required documentation current and accurately recorded.
Provide support in organizing and maintaining HR records in both physical and digital formats.
Responsibilities include maintaining up-to-date leave trackers and staff databases on a consistent basis.
Assist in compiling OUT correspondences for your line manager’s review prior to their distribution to the appropriate offices and staff.
Facilitate the dissemination of HR information to field teams as needed to ensure clear and timely communication.
Facilitate all aspects of travel logistics, such as reserving flights, organizing airport transportation, tracking visa application status, and securing lodging accommodations.
Support the maintenance and organization of HR and administrative records.
Perform additional responsibilities as assigned or necessary to support operational needs.
Nature of the Position

Generally, the work schedule is Monday through Friday, aligning with standard office hours, though occasional flexibility may be necessary based on operational demands.
The intern must consistently uphold professionalism, ensure strict confidentiality, and comply with all ACTED policies throughout their tenure.
Seeking a candidate with a robust set of technical and interpersonal competencies, alongside a proven track record in relevant methodologies. Applicants must demonstrate proficiency in industry-standard tools and frameworks, complemented by strong problem-solving abilities and meticulous attention to detail. Prior experience in a similar role is essential, with a minimum of three years in a comparable position preferred. Excellent communication skills are required to collaborate effectively with cross-functional teams and stakeholders. A Bachelor’s degree in a related field or equivalent professional experience is mandatory.
Recent graduate or student in their final year pursuing a degree in Human Resource Management, Business Administration, International Relations, or a closely related discipline is required.

Effective communication and collaboration skills are essential for fostering strong working relationships and ensuring clarity in interactions.

Proficiency in fundamental computer operations and familiarity with key Microsoft Office applications, such as Word, Excel, Outlook, and PowerPoint, is required.
