Job Purpose
The HR/Admin Intern operates under the oversight of the HR/Admin Manager and receives daily direction from the HR/Admin Assistant, providing support for essential HR and administrative duties while acquiring hands-on experience in human resources and office operations.
The intern assists with various administrative duties, including recruitment support, document management, filing systems, and general office coordination tasks.
The primary duties encompass overseeing project execution, ensuring adherence to timelines, and maintaining high-quality standards. Key responsibilities include coordinating team efforts, delegating tasks, and fostering collaboration among stakeholders. Additionally, the role involves monitoring progress, identifying potential risks, and implementing corrective actions to mitigate delays or budget overruns. Regular reporting to senior management, analyzing performance metrics, and presenting actionable insights are also essential components of this position. Strong leadership, problem-solving abilities, and meticulous attention to detail are required to succeed in this role. Proficiency in project management tools, exceptional communication skills, and a results-driven mindset are mandatory. A minimum of five years of experience in a similar capacity is preferred.
HR Support professionals are responsible for providing comprehensive assistance to employees and management on matters relating to human resources policies, procedures, and compliance with applicable laws. They manage recruitment processes, including job postings, candidate screening, and interview coordination, ensuring alignment with organizational hiring standards. Additionally, they facilitate employee onboarding and offboarding, maintaining accurate personnel records and ensuring adherence to company policies. These professionals also address employee inquiries, resolve workplace issues, and support performance management initiatives, fostering a positive and productive work environment. Strong communication and interpersonal skills, along with proficiency in HRIS and Microsoft Office Suite, are essential for success in this role.
Support recruitment initiatives, facilitate interview scheduling, and oversee the coordination of staff onboarding procedures.
Verify that all staff personnel files adhere to ACTED’s policies and remain current and comprehensive.
Provide support in organizing and maintaining HR records through both physical and digital filing systems.
Maintain and update leave trackers and staff databases on a regular basis.
Assist in compiling OUT correspondences for the line manager’s review prior to their dissemination to appropriate offices and personnel.
Facilitate the dissemination of HR-related information to field teams as needed to ensure clear and timely communication.
Assist with organizing travel logistics, encompassing flight reservations, airport transportation coordination, visa application tracking, and lodging bookings.
Support the management and organization of HR and administrative records to ensure accuracy and compliance.
Perform any additional tasks as assigned or necessary to support operational needs.
Nature of the Position
This position offers a hands-on learning opportunity designed to immerse participants in the core functions of Human Resources and Administration within a humanitarian organization.
Generally, the working schedule aligns with standard office hours from Monday to Friday, with occasional flexibility required based on operational demands.
