Job Purpose
Under the direction of the HR/Admin Manager and with daily oversight from the HR/Admin Assistant, the HR/Admin Intern assists with standard HR and administrative duties while acquiring hands-on experience in human resources and office operations.
The intern contributes to recruitment initiatives, handles filing and documentation tasks, and aids in general office coordination activities.
Responsibilities include coordinating and overseeing daily operations, ensuring adherence to established protocols and standards. Duties encompass managing workflow processes, delegating tasks effectively, and maintaining high levels of productivity. Additionally, the role requires collaborating with cross-functional teams to achieve organizational goals, monitoring performance metrics, and implementing continuous improvement initiatives. Strong leadership and communication skills are essential to drive team success and foster a positive work environment.
HR Support professionals provide strategic assistance to enhance employee satisfaction and streamline HR processes. They collaborate with management to implement policies, address workforce concerns, and ensure compliance with labor regulations. Responsibilities include managing employee records, coordinating recruitment efforts, and facilitating training programs. Strong interpersonal and organizational skills are essential, along with proficiency in HR software and a deep understanding of HR best practices. A bachelor’s degree in Human Resources or a related field is typically required, and prior experience in an HR role is often preferred.
Provide support in recruitment efforts, facilitate interview procedures, and coordinate staff onboarding initiatives.
Maintain accurate and up-to-date staff personnel files in accordance with ACTED policies.
Provide support in organizing and maintaining HR records, both in physical and digital formats.
Maintain up-to-date leave trackers and staff databases on a consistent basis.
Assist in compiling OUT correspondences for managerial review prior to their distribution to designated offices and personnel.
Facilitate the dissemination of HR-related information to field teams as needed.
Assist with organizing travel logistics, such as securing flight reservations, coordinating airport transportation, managing visa application progress, and arranging suitable accommodations.
Support in maintaining accurate records and documentation for HR and administrative functions.
Perform additional tasks and responsibilities as assigned or deemed necessary by management.
Nature of the Position

Working hours typically run Monday through Friday, aligning with standard office schedules, with occasional flexibility needed based on operational demands.

Proficient candidates should possess a Bachelor’s degree in a related field, along with a minimum of five years of hands-on experience in a comparable role. Demonstrated expertise in project management, budget oversight, and strategic planning is essential. Strong interpersonal and communication skills are required to collaborate effectively with cross-functional teams and stakeholders. Proficiency in industry-specific software and tools is also a necessity. Additionally, candidates must exhibit exceptional problem-solving abilities and a proven track record of delivering results under tight deadlines.
Recent graduates or students in their final year pursuing degrees in Human Resource Management, Business Administration, International Relations, or comparable disciplines are encouraged to apply.

Relevant internship or volunteer experience is highly beneficial.
