Job Purpose
The HR/Admin Intern collaborates closely with the HR/Admin Manager and receives daily direction from the HR/Admin Assistant to assist with essential HR and administrative duties, thereby acquiring hands-on experience in human resources and office administration.
The intern assists with recruitment initiatives, manages filing systems, handles documentation tasks, and ensures efficient office coordination.
Oversee a range of critical operational duties, ensuring seamless workflow and adherence to established protocols. Develop and implement strategic initiatives to enhance productivity and efficiency across assigned functions. Collaborate with cross-functional teams to align objectives and drive cohesive project execution. Monitor performance metrics and implement corrective actions as needed to maintain high standards. Act as a liaison between departments to facilitate clear communication and resolve interdepartmental challenges. Maintain compliance with organizational policies, industry regulations, and quality assurance standards. Prepare detailed reports and presentations to communicate progress, insights, and recommendations to stakeholders. Identify opportunities for process improvements and cost-saving measures. Train and mentor team members to foster professional growth and operational excellence. Support senior leadership in strategic planning and decision-making processes.
Provides comprehensive assistance to the Human Resources department, ensuring smooth execution of administrative and operational tasks. Addresses employee inquiries, maintains accurate personnel records, and processes documentation such as onboarding paperwork, leave requests, and benefits enrollment. Collaborates with hiring managers to facilitate recruitment efforts, including posting job openings, screening resumes, and scheduling interviews. Assists in coordinating employee training sessions and ensures compliance with company policies and labor regulations. Leverages HR software and tools to streamline processes, generate reports, and track key metrics. Serves as the primary point of contact for employees regarding HR-related concerns, offering guidance on workplace policies, career development, and conflict resolution.
Provide support in the recruitment initiatives, facilitate interview procedures, and coordinate staff onboarding activities.
Verify that all staff personnel files remain fully compliant with ACTED policies by ensuring they are both complete and up to date.
Provide support in organizing and maintaining HR records, both in physical and digital formats.
Maintain and update leave trackers and staff databases on a consistent basis.
Assist in drafting OUT correspondences for the line manager’s review prior to their distribution to the designated offices and staff members.
Facilitate the dissemination of HR-related information to field teams as needed to ensure clear and consistent communication.
Handle all travel logistics, such as securing flight reservations, coordinating airport pickups, managing visa application follow-ups, and arranging accommodations.
Support the management and organization of HR and administrative records, ensuring accuracy and compliance with established procedures.
Perform additional responsibilities as assigned, ensuring flexibility and adaptability to meet evolving operational demands.
Nature of the Position
This position offers a dynamic learning environment designed to immerse individuals in the practical operations of Human Resources and Administration within a humanitarian organization.
Generally, the role follows a Monday to Friday schedule aligned with standard office hours, though occasional flexibility may be required to accommodate operational demands.
The intern must consistently demonstrate professionalism, maintain strict confidentiality, and comply fully with all ACTED policies throughout their tenure.
A bachelor’s degree in computer science, engineering, or a related field is essential. Proficiency in programming languages such as Python, Java, or C++ is required. At least three years of experience in software development or a comparable role is necessary. Familiarity with agile methodologies, version control systems (e.g., Git), and cloud platforms (e.g., AWS, Azure) is expected. Strong problem-solving skills and the ability to work collaboratively in a team are also important. Excellent communication skills, both written and verbal, are required to effectively convey technical concepts to diverse audiences.
Recent graduates or students in their final year of study in Human Resource Management, Business Administration, International Relations, or a comparable discipline are encouraged to apply.
