Administration
Handles all travel and administrative duties for medieval and referral cases in Nairobi in coordination with the Travel team.
Deliver critical guidance to incoming personnel regarding essential procedures such as visa acquisition (ETA), local retail opportunities, currency exchange protocols, and security briefings, in coordination with the ASA unit.
Connect with MSF Sections and OC travel focal points to obtain tailored guidance and requirements for travel arrangements.
Prepare monthly reports and ensure they are kept current through close collaboration with the SHU team.
Maintain meticulous records and documentation of all travel activities, movements, and critical information to ensure accuracy and compliance.
Ensure administrative travel requirements, including visas and air tickets, are communicated promptly and clearly to staff, while also distributing the welcome package in advance.
We arrange and oversee patient transportation arrangements, including taxis for airport transfers, and deliver concise briefings and assistance regarding local travel.
In collaboration with the travel, finance, facilities, and procurement teams, we will assess the requirements of local accommodations and hotels, ensuring all administrative needs are properly incorporated into the specifications.
Process per diem requests and claim invoices for staff, ensuring all documentation is accurate and submitted in a timely manner.
Medical Insurance and Local Service Agreements are administered as part of the role, ensuring compliance with regulatory standards and operational efficiency. This position involves managing contractual obligations with healthcare providers, negotiating terms, and overseeing service delivery to maintain high-quality patient care. Additionally, the role requires maintaining accurate records of agreements, tracking renewal dates, and facilitating seamless communication between stakeholders to uphold organizational policies and contractual commitments.
Facilitate MSF personnel in submitting MSH pre-certification requests for staff members who necessitate hospital admission or have scheduled hospital appointments.
Provide support to the Executive Assistant Headquarters team and field personnel regarding insurance-related inquiries.
Prepare and dispatch letters of undertaking to healthcare providers, such as The Nairobi Hospital, check-up centers, or vaccination facilities, upon request from the SHU team.
The service provider’s invoice must be printed, reviewed for approval, and then scanned before being forwarded to the Finance team for processing and payment.
Work collaboratively with Nairobi-based ambulance service providers as necessary to facilitate event coverage or provide individual health assistance to staff.

Ensures the safeguarding and confidentiality of sensitive information through the implementation of robust security protocols and compliance with relevant regulations. Responsibilities include conducting regular risk assessments, monitoring data access, and addressing potential vulnerabilities to prevent breaches. Requires a strong understanding of data privacy laws, encryption methods, and cybersecurity best practices. Qualifications
As a Language professional, you will be tasked with demonstrating fluency in multiple languages, ensuring accurate and culturally appropriate communication. Your responsibilities will include translating documents, interpreting verbal exchanges, and proofreading written content to maintain linguistic precision. Strong written and verbal communication skills in the required languages are essential, along with a deep understanding of grammar, syntax, and cultural nuances. Education

Experience
Professional healthcare administration experience is preferred, and prior involvement with other humanitarian NGOs would be beneficial.

The position is based at the Medicine Sans Frontiers Eastern Africa office, located in Nairobi, Kenya.
We are offering an open-ended, full-time contract position.
Start date: ASAP.
An annual salary of EUR 18,476 is offered at HQ Grade 6 for a full-time position, with a guaranteed annual increment of 2% for up to a maximum of 10 years.
A financial benefit for work-life balance is provided, ranging from EUR 247 to EUR 295 per month, contingent upon individual and administrative circumstances. This allocation may be applied toward expenses such as accommodation, utilities, transportation, and related costs.
Other benefits comprise 25 paid vacation days per year, a company-matched pension plan, and comprehensive medical insurance coverage—including dependents—aligned with MSF EA policies.
