RESPONSIBILTIES
Process, track, and distribute Import Declaration Forms (IDF) to suppliers while obtaining Certificates of Conformity and securing KEYS PVC exemptions as required.
Secure comprehensive marine insurance coverage for incoming cargo shipments.
Upon customs entry, handle the processing of KEYS Consignment Documents with precision and efficiency.
Obtain supplier quotes and pro forma invoices to evaluate pricing and terms.
Prepare purchase orders for systems and ensure proper documentation is maintained.
Oversee supplier logistics processes, tracking shipments from the point of production through to final dispatch to ensure timely and accurate delivery.
Ensure shipping documents are in complete alignment with the original purchase order details.
Gather, evaluate, and obtain necessary approvals for freight quotations.
Prepare and transmit all required documentation to designated clearing agents to facilitate expedited customs clearance.
Audit the accuracy of taxes, duties, and levies on Customs Entries. Prepare and oversee the documentation required for outward export sales. Organize and regularly update individual import files and registers.
Before submitting third-party logistics invoices to accounts, conduct a thorough review to confirm accuracy. Collaborate with clearing agents to facilitate prompt and precise invoicing, ensuring all transactions align with established timelines.
Regular logistics updates will be provided to Directors, Production, and Stores on an ongoing basis. Cargo claims for damage or shortages will be filed and diligently followed up on. Additionally, other operational tasks will be managed as assigned by management.
The ideal candidate must meet the following qualifications: a bachelor’s degree in a relevant field or equivalent experience, at least three years of professional experience in [specific industry/role], proficiency in [specific software/tools], and strong analytical and problem-solving skills. Additionally, exceptional communication abilities, both written and verbal, are essential for collaborating across departments and presenting findings to stakeholders. Familiarity with industry best practices and regulatory compliance is highly desirable, along with the capacity to work independently and manage multiple priorities in a fast-paced environment.
Holding a Diploma in Purchasing & Supplies Management, Clearing and Forwarding, or an equivalent discipline is essential.
With a minimum of six years of experience in shipping, logistics, or clearing, preferably within a manufacturing context, the ideal candidate will bring a strong background to this role.
Proficient in navigating both local and international import/export regulations as well as customs procedures.
Maintains rigorous integrity and complete transparency when managing critical regulatory documentation.
A keen eye for precision is essential when examining trade documents and verifying tax figures. Additionally, candidates must demonstrate the capacity to operate efficiently with limited oversight.
Proven ability to manage multiple tasks simultaneously while maintaining clear and effective communication with colleagues and stakeholders. Demonstrates strong interpersonal skills to foster productive working relationships and ensure seamless collaboration.
