The Role

The ideal candidate must be capable of fulfilling the following duties and responsibilities:

Plan, coordinate, and manage daily facilities operations across all branches, offices, and support facilities to ensure seamless functionality and efficiency.

We will develop and oversee planned preventive maintenance (PPM) and corrective maintenance programs for critical building systems, including electrical, HVAC, plumbing, fire and safety systems, generators, inverters, cold rooms, hybrid inverters, solar systems, AIRS, UPS, lifts, water treatment plants, and precision cooling units.

Maintain facilities in optimal condition to ensure uninterrupted banking operations, while prioritizing security and functionality.

Responsible for managing contract administration, tracking performance metrics, and ensuring adherence to service level agreements, while delivering optimal value and maintaining high service standards.

Ensure adherence to all applicable statutory and regulatory obligations, such as those mandated by OSHA, FEMA, Public Health regulations, fire safety standards, and building codes.

Develop, execute, and oversee health, safety, and environmental (HSE) programs at all operational sites to ensure compliance and continuous improvement.

Facilitate internal and external audits while ensuring prompt resolution of audit findings pertaining to facilities management.

Craft and oversee annual facilities budgets, forecasts, and cost-control strategies to ensure financial efficiency and alignment with organizational objectives.

Oversee expenditures associated with facilities operations while evaluating avenues for enhanced cost efficiency and streamlined processes.

Verify and endorse facility invoices and payment requests, ensuring strict alignment with approved budgets and contractual agreements.

Contribute to the advancement of energy efficiency, water conservation, and sustainable practices within facility operations.

Assist in the development and implementation of Business Continuity plans, focusing specifically on facilities and infrastructure considerations.

Compile periodic management reports that evaluate facilities performance, associated costs, compliance status, and potential risks.

You will collaborate with branch management, various business units, regulatory bodies, landlords, and service providers to address facilities-related concerns.

We are seeking a candidate with a strong background in relevant skills, proven competencies, and extensive experience to fulfill the role effectively. The ideal applicant will possess the necessary qualifications, including hands-on expertise in key areas, along with the ability to apply theoretical knowledge in practical settings. Prior to work experience in similar positions is essential, as is the capacity to demonstrate proficiency in core responsibilities. Additionally, familiarity with industry standards and best practices is required to ensure optimal performance in this position.

The ideal candidate must possess a comprehensive set of skills and competencies, including the following:

A bachelor’s degree in Engineering, Construction Management, or a closely related discipline is required.

Professional certifications, such as those in Facilities Management or Project Management, would be considered an asset.

Seeking candidates with a minimum of three to five years of practical experience in facilities or property management, ideally within the banking, financial services sector, or large multi-site organizations.

Demonstrates extensive expertise in the design, maintenance, and management of building systems and facility operations.

Seasoned professionals in contract and vendor management possess a wealth of experience navigating complex agreements and cultivating productive vendor relationships. They demonstrate proficiency in negotiating terms, ensuring compliance, and optimizing cost-efficiency while mitigating risks. Their responsibilities include drafting, reviewing, and administering contracts, as well as monitoring vendor performance to uphold service-level agreements. Additionally, they play a pivotal role in resolving disputes, conducting due diligence, and maintaining meticulous documentation to support strategic decision-making.

Proficient in budget preparation and financial evaluation techniques.

Demonstrates a solid understanding of Kenya’s Health, Safety, and Environment regulations, along with relevant statutory requirements.

Proven ability to effectively manage and communicate with stakeholders across diverse levels and functions, ensuring alignment, transparency, and collaborative outcomes throughout project lifecycles.

Demonstrates exceptional proficiency in strategic planning, coordination, and problem resolution, with a strong capacity for analytical thinking and efficient execution of complex tasks.
