Description

The Facilities Supervisor oversees the complete management of the BPO office environment, ensuring its safety, security, and uninterrupted operation in accordance with PCI DSS v4.0 standards and the prescribed Operating Manual. This position involves coordinating physical security measures, contractor oversight, employee transportation, and catering services to sustain a high-performance BPO operation operating around the clock.

Responsibilities encompass leading cross-functional teams to deliver projects on schedule, ensuring alignment with organizational goals and client expectations. Duties involve conducting thorough market research, analyzing data trends, and presenting actionable insights to stakeholders. Additionally, the role requires overseeing budget management, optimizing resource allocation, and maintaining compliance with industry regulations. Collaborating with departments such as sales, marketing, and operations is essential to drive cohesive strategies and achieve measurable outcomes. The position demands strong leadership, exceptional problem-solving skills, and a proactive approach to fostering innovation and continuous improvement.

Responsible for overseeing the implementation and maintenance of physical security measures and access control systems, ensuring the protection of personnel, assets, and facilities from unauthorized entry or threats. Develops and enforces security policies, conducts regular risk assessments, and monitors surveillance systems to mitigate potential vulnerabilities. Collaborates with law enforcement and emergency responders when necessary to address security incidents. Requires proficiency in access control technologies, security protocols, and emergency response procedures, along with strong communication and leadership skills to train and manage security personnel effectively.

Oversee the consistent enforcement of Physical Security Guidelines on a daily basis, guaranteeing that access to all zones is restricted exclusively to authorized personnel.

Supervise security personnel to ensure strict adherence to mandatory bag inspections and enforce compliance with the “Prohibited & Controlled Items” policy, which includes prohibiting personal phones in Production zones.

Responsible for the meticulous oversight of physical keys and providing assistance with locker assignments to ensure accurate tracking and distribution.

The role involves overseeing facilities operations and managing vendor relationships to ensure seamless day-to-day functionality. Key responsibilities include maintaining facility infrastructure, coordinating with external vendors for service delivery, and ensuring compliance with safety and regulatory standards. The position requires strong organizational skills, attention to detail, and the ability to liaise effectively with both internal teams and external partners. Experience in facilities management or a related field is preferred, along with proficiency in vendor negotiation and contract administration.

Ensure strict adherence to established daily opening and closing protocols to uphold site security and operational consistency.

Serve as the main liaison for all contractors, including those handling cleaning, pest control, and maintenance, by verifying their pre-registration, providing escorted access to restricted areas, and ensuring strict adherence to established work-order procedures.

Coordinate food vendor partnerships to guarantee the sanitary transportation and preservation of meals for all scheduled shifts while overseeing the cleanliness of break-out spaces and kitchen facilities.

Conduct regular inspections to verify compliance with Media, Document, and Clean Desk standards, and promptly report any deviations to management.

Responsible for orchestrating quarterly fire and emergency drills, this role ensures comprehensive training for all marshals and first-aiders while maintaining precise headcount documentation.

As the designated escalation point for security or facility incidents, you will document root causes and implement corrective actions to ensure resolution.

As a Community Liaison, you will handle neighbor complaints with professionalism, meticulously documenting each interaction while developing and enforcing proactive strategies to prevent future issues.

Responsible for managing and overseeing the efficient movement of goods and personnel, ensuring timely deliveries and adherence to schedules. This role involves coordinating with carriers, suppliers, and internal teams to optimize transportation routes and minimize costs while maintaining high service standards. Key tasks include scheduling shipments, tracking deliveries, resolving logistical issues, and ensuring compliance with safety and regulatory requirements. Overseeing the daily scheduling of staff transportation involves meticulously planning efficient routes and ensuring punctual pick-ups and drop-offs for both day and night shifts.

Monitor transport vendors to ensure compliance with safety regulations and professional standards, conducting monthly reviews of trip logs for cost control purposes.

The role is responsible for ensuring the upkeep and functionality of all building systems, equipment, and infrastructure. Duties include conducting routine inspections, performing repairs, and coordinating maintenance schedules to minimize disruptions. The position requires proficiency in HVAC, electrical, and plumbing systems, along with the ability to troubleshoot issues efficiently. Strong organizational skills and attention to detail are essential, as is the ability to work independently or as part of a team. Prior experience in facilities management or a related field is preferred, and knowledge of safety protocols and compliance standards is required.

Conducting routine assessments of the facility, you will perform systematic inspections to identify potential concerns and address them promptly before escalation.

Schedule all critical installations for both reactive and planned preventative maintenance to ensure optimal performance and longevity.

Requirements

A bachelor’s degree is required for this position.

Proven expertise in facilities or security management is essential, ideally within a BPO or PCI-regulated environment.

Proficiency in Kenya’s Data Protection Act and Public Health Act, particularly as they pertain to food handling regulations, is required.

Proficient in operating and maintaining security infrastructure, including CCTV systems and biometric solutions, with a complementary ability to oversee fundamental facility maintenance tasks.
