The Facilities Supervisor oversees the comprehensive management of our BPO office facility, ensuring it operates seamlessly while adhering to PCI DSS v4.0 standards and the prescribed Operating Manual. This position requires overseeing physical security protocols, coordinating contractor activities, managing staff transportation, and handling catering services to sustain a high-performance, round-the-clock BPO operation.

Responsibilities:

We are seeking a dedicated professional to oversee physical security measures and access control systems, ensuring the protection of personnel, assets, and facilities. The ideal candidate will implement and maintain robust security protocols, monitor surveillance equipment, and manage access permissions for employees and visitors. Responsibilities include conducting regular security audits, responding to incidents, and coordinating with law enforcement or emergency services when necessary. Applicants must possess prior experience in security management, proficiency with access control technology, and strong problem-solving skills. A background in criminal justice, law enforcement, or a related field is highly desirable, along with relevant certifications such as Certified Protection Professional (CPP) or Physical Security Professional (PSP).

The position involves supervising the consistent application of Physical Security Guidelines, with the responsibility of ensuring access to all designated areas is restricted exclusively to authorized individuals.

We are seeking a skilled Facilities & Vendor Management professional to oversee the maintenance, operations, and vendor relationships essential to our facility’s seamless functionality. This role requires meticulous coordination with external vendors to ensure service quality, cost efficiency, and timely delivery of all required supplies and services. Responsibilities include negotiating contracts, monitoring performance, and resolving any operational or vendor-related issues that may arise. Candidates should possess proven experience in facilities management, vendor oversight, and contract administration, along with excellent communication and problem-solving abilities.

Acting as the central liaison for all contractors, including those in cleaning, pest control, and maintenance, this role involves verifying their pre-registration, escorting them in restricted areas, and enforcing adherence to established work-order protocols.

Coordinating with food suppliers, you will oversee the hygienic delivery and storage of meals across all shifts while ensuring the cleanliness of break-out and kitchen spaces.

Conduct routine audits to verify compliance with Media, Document, and Clean Desk policies, promptly escalating any deviations to management for resolution.

Ensures the implementation and maintenance of health, safety, and emergency response protocols, fostering a secure work environment. Develops and enforces compliance with relevant regulations and company policies to mitigate risks. Conducts regular inspections and risk assessments to identify potential hazards and implement corrective measures. Leads emergency response planning, including drills and training sessions, to prepare employees for critical situations. Collaborates with management to integrate safety initiatives into operational processes while promoting a culture of accountability.

This role involves overseeing the planning and execution of quarterly fire and emergency drills, guaranteeing the proficiency of all marshals and first-aiders while maintaining precise attendance records.

As the designated liaison for escalating security or facility incidents, you will assume responsibility for managing and documenting all pertinent details, including root causes and corrective actions.

Acting as a Community Liaison involves addressing and resolving complaints from neighbors with professionalism and care, meticulously recording all communications, and introducing proactive strategies to avert future issues.

The position involves overseeing and executing a wide range of maintenance tasks to ensure the proper functioning, safety, and cleanliness of all building systems and equipment. Responsibilities include inspecting facilities regularly, performing preventative maintenance, and addressing repair requests promptly to minimize downtime. The role requires proficiency in general carpentry, plumbing, electrical systems, HVAC maintenance, and painting, along with the ability to operate basic hand and power tools. Strong problem-solving skills and attention to detail are essential, as is the ability to work independently or collaboratively in a fast-paced environment. A high school diploma or equivalent is required, and prior experience in facilities maintenance or a related field is preferred. Valid certifications in trade skills or safety protocols may be advantageous.

Periodic inspections of the premises will be carried out to identify and address potential issues in advance, ensuring all areas remain compliant and well-maintained.

Responsible for organizing and executing both unplanned corrective maintenance and scheduled preventative maintenance for essential systems.

Requirements

A bachelor’s degree is required for consideration in this role.

Demonstrated expertise in facilities or security management, ideally within a Business Process Outsourcing (BPO) or Payment Card Industry (PCI)-regulated setting.

Proficiency in Kenya’s regulatory frameworks for data protection and public health, specifically the Data Protection Act and Public Health Act as they pertain to food handling, is essential.

Proficient in operating and overseeing security infrastructure, including CCTV and biometric systems, alongside providing basic maintenance oversight for facility operations.
