The HR Associate, a member of the HR team within I-Hub, facilitates the candidate journey by providing support throughout the pre-employment and onboarding phases. In collaboration with Recruiting Associates, HR Partners, HR Focal Points, and hiring managers, they ensure a seamless transition for new employees.

This position will execute assignments and deliverables by establishing target deadlines, performing data entry tasks, and maintaining the accuracy and currency of forms, documents, and processes.

The Onboarding team serves as the primary liaison for new hires following their acceptance of an offer. As the Onboarding Associate, the role demands a strong commitment to customer service, aiming to simplify the onboarding experience while ensuring full compliance with local labor regulations.

Oversee the full spectrum of duties associated with this role, ensuring all core functions are executed with precision and consistency. Lead key initiatives that drive operational excellence and support strategic objectives, maintaining a high standard of performance across all assigned tasks. Manage daily workflows to guarantee seamless collaboration among teams while fostering an environment of accountability and continuous improvement. Uphold company policies, compliance standards, and industry regulations to mitigate risks and ensure adherence to best practices. Oversee the seamless integration of new employees into the organization and facilitate their transition out of the company when necessary. Oversee the complete onboarding process, from initial pre-arrival correspondence to organizing orientation sessions, gathering necessary documentation, and configuring systems to ensure seamless integration.

Following the execution of the signed offer, the selected candidate will receive ongoing communication and support.

The position involves overseeing onboarding tasks, such as facilitating new hire communications, gathering and maintaining essential data, ensuring compliance acknowledgements are completed, and conducting orientations.

Oversee the implementation of organized exit procedures, specifically terminal dues processing and final clearance, ensuring compliance with Kenya’s labor regulations.

We communicate with new employees via email to provide essential company information, such as parking instructions and their assigned work schedules.

Providing new employees with essential technical support to properly configure their hardware and software systems.

Collect and organize all documentation associated with new employee onboarding, such as employment contracts and personal information records, ensuring proper filing and compliance with company procedures.

Assist with recruitment activities in collaboration with Recruiting Associates and hiring managers.

Ensure meticulous management and upkeep of all onboarding records, documentation, associated forms, and HRIS updates throughout the employment lifecycle.

Coordinate the entire employee lifecycle, encompassing recruitment, onboarding, performance evaluations, contract administration, and offboarding processes.

The role involves overseeing employee benefits administration, ensuring accurate and timely processing of enrollments, claims, and inquiries. It requires strong organizational skills, attention to detail, and proficiency in benefits management software. Responsibilities include managing health insurance, retirement plans, and other employee welfare programs, as well as maintaining compliance with relevant regulations. The position demands effective communication with employees, benefits providers, and internal stakeholders to resolve issues and provide guidance. Handle employee leave requests, encompassing various types such as vacation, sick leave, and personal days, while ensuring accurate tracking and compliance with company policies and labor regulations. Process leave applications promptly, verify eligibility, and maintain detailed records to support payroll and auditing processes. Address inquiries related to leave balances, policies, and procedures, providing clear and timely responses to employees and managers. Ensure seamless integration with HR systems to facilitate efficient leave administration and reporting. Adhere to legal requirements and organizational guidelines to mitigate risks and promote equitable leave management practices.

Responsible for comprehensive oversight of the entire leave management process, encompassing tracking, reconciliation, reporting, and system updates.

Offer expert direction to employees regarding various leave categories, including annual, sick, parental, and compassionate leave, while ensuring strict adherence to organizational policies and relevant labor regulations.

Audit leave balances within Workday, identifying discrepancies and coordinating necessary corrections or manual adjustments to ensure accuracy.

Collaborate effectively with the payroll department to ensure that leave balances are accurately reflected in salary computations and final settlements.

Deliver strategic workforce planning support by generating comprehensive leave utilization reports and interactive dashboards.

Investigate and reconcile inconsistencies while providing guidance to staff regarding their eligibility for leave benefits.

Duties include overseeing day-to-day operations, coordinating cross-functional teams, and ensuring adherence to company policies and procedures. The role involves maintaining accurate records, preparing comprehensive reports, and facilitating effective communication between departments. Additionally, the position requires monitoring performance metrics, identifying areas for improvement, and implementing strategic initiatives to enhance productivity and efficiency. Convening exit interviews with employees who are departing to ascertain their motivations for leaving and ensure the HR Lead is promptly informed of the insights gathered.

Oversee the administration and upkeep of staff contracts, personnel records, and other essential employee documentation.

Oversee the administration and organization of all human resources documentation while implementing and maintaining a structured filing and retrieval system to ensure the secure preservation of both historical and current records.
