About the Role

The Director of Human Resources and Business Administration will oversee a broad range of HR functions, such as recruiting and onboarding new employees, managing benefits, processing payroll, and ensuring adherence to HR policies. Additionally, the role involves leading business administration tasks, including financial oversight, budget management, and procurement activities. The Director will foster a supportive and collaborative work environment, prioritizing staff well-being and cultivating a dynamic team culture to advance Kenya Connect’s mission.

Oversee and execute a comprehensive range of duties and responsibilities as outlined within the position, ensuring alignment with organizational objectives and operational standards. Key responsibilities include managing project workflows, coordinating team efforts, and maintaining precise documentation to track progress and outcomes. Additionally, the role demands adherence to established protocols, proactive problem-solving, and effective communication to foster collaboration across departments.

Responsibilities in the realm of Human Resources encompass a broad spectrum of tasks, including talent acquisition, employee onboarding, performance management, and policy implementation. Requirements for this role typically include proficiency in HR software, exceptional interpersonal skills, and a thorough understanding of labor laws and regulations. Additionally, the position demands expertise in conflict resolution, benefits administration, and workforce planning to ensure organizational efficiency and compliance. Candidates should possess strong communication abilities and the capacity to maintain confidentiality while fostering a positive work environment.

Oversee the recording and tracking of staff attendance, encompassing both arrival and departure times, as well as leave requests and sick days.

Oversee the submission and processing of job and internship applications in collaboration with the Senior Leadership team.

Responsibilities include managing the recruitment process and facilitating the onboarding of new employees and interns.

Working jointly with the senior programs director and coordinators, you will establish critical performance targets and operational strategies to guide project execution.

Conduct semi-annual and annual staff performance evaluations in collaboration with supervisors to assess employee contributions and identify areas for development.

Maintain current, precise job descriptions for all personnel to reflect their roles and responsibilities accurately.

Overseeing and administering employee health care plans and insurance programs constitutes a primary responsibility.

Collaborate with fellow team members to design and execute professional development initiatives, team-building exercises, and engaging recreational programs.

Under the guidance of the Executive Director, assist with salary administration duties, such as extending salary offers, conducting performance-based reviews, and ensuring alignment with established compensation guidelines and salary structures.

Ensure the secure handling and protection of employee records in strict adherence to the Data Protection of Personal Information Act (No. 24 of 2019), maintaining confidentiality at all times.

The Executive Director will receive support in maintaining organizational adherence to all HR statutory reporting obligations and labor law requirements.

Provide strategic guidance to management regarding the legal and other ramifications of human resources-related decisions to ensure compliance and mitigate risks.

Support supervisors in assessing training requirements for staff, as well as locating appropriate trainers or training institutions.

All personnel are expected to strictly comply with established health and safety protocols to maintain a secure and compliant work environment.

Ensure seamless coordination of vehicle schedules to effectively support program operations.

Responsible for managing the timely servicing of vehicles and other motorized equipment while ensuring costs remain as low as reasonably achievable.

Oversee the management and upkeep of service agreements and contracts to ensure compliance and operational efficiency.

Implement and sustain robust, current security protocols to safeguard the organization’s assets and personnel against potential threats.

Oversee the organization, maintenance, and updating of both physical and electronic employee records to ensure accuracy, compliance, and accessibility.

In collaboration with the Leadership Team, facilitate the resolution of workplace conflicts to ensure a harmonious and productive environment.

Assists in compiling and finalizing HR and finance reports for submission to the Kenya NGO Board and the US Non-Profit oversight authorities.

Ensure adherence to data protection regulations and ethical data collection practices.

The role involves overseeing a variety of administrative tasks that are essential to the smooth operation of the business. Responsibilities include managing office procedures, coordinating schedules, and ensuring compliance with company policies and regulations. You will be responsible for preparing reports, maintaining records, and facilitating communication between departments. Collaborate closely with Senior Staff and coordinators to ensure program budgets align with scheduled activities.

Analyze program expenditure reports verifying that financial allocations align with established targets and deliverables.

Flag any financial discrepancies that could potentially disrupt program execution and propose suitable corrective measures to address them.

Prepare and deliver accurate financial data to aid in securing resources and fulfilling donor reporting obligations.

To optimize the utilization of organizational resources, diligently manage all assets to minimize expenditures while maintaining high operational efficiency.

Develop and uphold robust internal controls to ensure the precise tracking and efficient management of equipment inventories.

Develop and manage the budgetary framework, ensuring accurate forecasting and allocation of financial resources to meet organizational objectives. Establish and maintain control mechanisms to monitor expenditures, identify variances, and implement corrective actions as needed. Collaborate with department heads to align budgetary allocations with strategic goals and operational priorities. Provide clear, actionable financial insights and recommendations to senior leadership to support informed decision-making. Ensure compliance with financial regulations, internal policies, and best practices in budget administration.

Conduct a comprehensive review of payroll reports in collaboration with the accountant, and subsequently authorize wage and salary disbursements for the organization.

Kenya Connect’s Procurement Manager will ensure the acquisition of goods and materials is conducted efficiently, delivering optimal value while maintaining fair pricing and full adherence to established procurement policies and protocols.

Provide supervision to the Accountant while evaluating and authorizing payments in collaboration with the Executive Director.

Ensure adherence to internal policies, statutory regulations, and donor-imposed mandates governing administrative and financial operations.

Qualifications include a bachelor’s degree in a relevant field, such as computer science, engineering, or mathematics, along with a minimum of five years of professional experience in a related discipline. Strong analytical and problem-solving skills are essential, as well as proficiency in programming languages like Python, Java, or C++. Candidates should demonstrate experience with software development methodologies, data structures, and algorithms, along with excellent written and verbal communication abilities. Familiarity with cloud platforms, such as AWS or Azure, and experience with version control systems like Git are highly desirable.

A bachelor’s degree in Human Resource Management is required.

Seeking a candidate with a minimum of five years of hands-on Human Resources experience, ideally within an international or local non-governmental organization, and a strong grasp of HR best practices, industry standards, staff medical insurance policies, and Kenyan employment laws.

A fully accredited member of the Institute of Human Resource Management (HRM), holding a current and valid professional practice license.

A Chartered Professional Accountant (CPA) designation at the CPA III level or higher will be viewed favorably.

Proficiency in computer literacy and advanced skills in MS Word, Excel, and QuickBooks, along with competency in Google Docs, are essential requirements for this role.

Proficient in the application of occupational health and safety legislation and the intricacies of employee benefits compliance.

Proficient in the application of taxation laws and regulations.

Must possess advanced proficiency in English alongside exceptional report-writing capabilities.

Detail-oriented with exceptional interpersonal and coaching abilities, demonstrating a keen eye for precision and a commitment to fostering collaborative relationships.

Proficiency in examining program budgets and performing value-for-money or cost-effectiveness evaluations is required.
