MAJOR FUNCTIONS
As a member of the People, Powering Biodiversity Core Team, you will be responsible for providing operational, administrative, and communication support to ensure effective fulfillment and execution of team functions towards achieving project objectives. Your role will involve supporting the Senior Manager in their duties, liaising effectively with other WWF International Divisions, Practices, and the Network as well as external partners and contacts. Additionally, you will assist the Senior Manager and PPB Leadership in managing the PPB on a day-to-day basis by performing designated administrative, knowledge management, and communication tasks.
The primary tasks and obligations of this role include overseeing various aspects of the organization’s operations, ensuring compliance with laws and regulations, managing financial resources, and coordinating with external partners to achieve shared goals.
Respond professionally to various inquiries or issues by employing effective communication strategies while demonstrating adaptability, self-motivation, multifaceted administrative responsibilities, critical thinking abilities, proficiency in organizational management, and thorough understanding of corporate guidelines.
As an administrative professional, you will be responsible for managing the day-to-day operations of the Senior Manager and PPB Global team. Your tasks include organizing and prioritizing schedules, meetings, appointments, and paperwork flow to ensure efficient workload management. You must also strive to optimize processes while responding promptly to invitations and other requests in a timely manner.
The role involves offering assistance in organizing both online and offline events such as meetings, seminars, and workshops. Additionally, this position entails coordinating and preparing pertinent documentation and presentations for these occasions.
The Communications Support Specialist is responsible for maintaining and updating PPB’s digital presence by overseeing the internal Google Workspace and external Twitter platforms. Additionally, this role collaborates with other teams to research, design, and produce high-quality communication materials such as customized PowerPoints, graphics, quarterly updates, and annual reports.
The role involves overseeing the organization’s communication channels, managing its online presence through an intranet website, email lists, and social media platforms. This includes creating and curating content for these channels, as well as ensuring that all information is accessible to authorized personnel. Additionally, this position requires knowledge management skills to maintain accurate records of important documents and contacts.
The role involves assisting the Senior Manager and PPB leadership in managing budget spreadsheets for PPB funds. Additionally, this position will provide support to contracting and reporting activities for fund grantees. Responsibilities include requesting, reviewing, and submitting invoices, receipts, and payments to WWF-INT Accounts Payable (AP). Furthermore, collaboration with WWF-INT AP is required in addressing any discrepancies that arise during this process.
As a Travel Coordinator, you will be responsible for organizing international and domestic travel arrangements for the Senior Manager and PPB Global team. This includes booking flights, securing accommodation, and managing other logistics related to travel. Additionally, you will coordinate and prepare all necessary documents related to travel, including obtaining approvals and authorizations as required. Furthermore, you will track CO2 information on a periodic basis to ensure compliance with relevant network requirements.
Performs additional duties as directed by the Senior Manager and the PPB international team.
PROFILE
Required Qualifications.
A Bachelor’s degree or its equivalent in a pertinent field is required for this position.
Possess at least five years of proven expertise as a senior or executive assistant in a global setting.
Exhibited proficiency in interpersonal relations, project management, and collaboration abilities.
The ideal candidate must possess a range of skills and competencies to excel in this role.
Adaptable written and verbal communication abilities that exhibit professionalism, diplomacy, and effectiveness in engaging with a wide range of culturally diverse and multilingual stakeholders, such as senior management and government officials.
Proficiency in coordinating and enhancing the efficiency of online conferences; Expertise in planning and executing global gatherings, encompassing both the practicalities of in-person events and the successful management of extensive virtual meetings.
This individual has an acute ability for focusing on minute details while maintaining exceptional organizational skills and a keen sense of priority management.
Proficiency in both written and verbal communication in English is essential; proficiency in additional languages is highly desirable.
