Assist in the verification of supplier invoices upon receipt, ensuring all components—including supplier information, transaction dates, detailed descriptions, applicable tax or withholding tax (WHT), necessary approvals, and supporting documentation—are complete and accurate.
Conduct thorough matching verifications between invoices and corresponding purchase orders, quotations, delivery notes, goods receipt notes (GRN), or service confirmations, promptly elevating any discrepancies for resolution.
Confirm that all invoices are processed and entered into QuickBooks or the ERP system on a daily basis, ensuring they are assigned to the appropriate supplier, account, cost center, project designation, and tax classification.
Maintain a comprehensive invoice tracking log to guarantee that no invoices are overlooked, ensuring all are documented within the established cut-off timeframes.
Maintain and update payables trackers on a consistent daily or weekly frequency to ensure accuracy and completeness.
Ensure all payment entries in the trackers are accompanied by the necessary supporting documentation, such as invoices, approvals, proofs of payment, withholding tax details, and any other relevant files.
Process approved petty cash requests promptly and ensure accurate recording of petty cash transactions.
Maintain an organized filing system for both physical and digital copies of invoices, approvals, proofs of payment (Pops), and reconciliations to ensure audit preparedness.
Ensure strict adherence to all financial transactions in accordance with established internal approval matrices, promptly escalating any deviations or policy violations for immediate review.
